Summary

The Senior Gift Administration Officer is an integral member of an 20-person fundraising department. Job responsibilities include daily gift processing, management of acknowledgments and receipting, digital fundraising support, constituent updates and general development administration. The position requires a personable, detail-oriented individual who is eager to contribute through collaborative interaction with other members on staff. As a member of the Systems & Operation team at Spaulding Rehabilitation, this role functions as a hub for driving gift information, sharing important gift updates and supporting gift analysis as needed. In office presence is required 1 – 2 times per week to handle checks and acknowledgement letters.

Following the successful conclusion of the $95 million-plus Campaign for Spaulding Research Institute in 2022, the Development Team is ramping up its activities to further bolster the network’s research and clinical missions through endowment and other philanthropic gifts, all to sustain Spaulding’s excellence for generations to come.

Key Responsibilities:

GIFT PROCESSING

  • Process all philanthropic gifts received by Spaulding Rehabilitation, including entry of constituent and gift information into the donor database. Conduct data entry of all gift types including, but not limited to: pledges, pledge payments, securities transactions, and gifts-in-kind, realized bequests, planned gifts, payroll deductions, etc.

  • Follow MGB Gift acceptance policies and IRS guidelines and ensure that best practices for gift administration are followed.

  • Oversee routing of checks to lockbox and lockbox processing procedures. Deposit checks to be processed inhouse.

  • Oversee and manage all gift imports, including but not limited to credit card processors, online campaigns, lockbox and other electronic transactions. Trouble shoot imports with appropriate team members and consultants.

  • Monitor Spaulding’s brokerage account for new gift transfers, confirm with gift officers or donor upon receipt, and accurately value asset for recording.

  • Communicate with staff, and donors, when necessary, to confirm or clarify donor intent of the purpose of charitable contribution.

  • Matching Gifts - Responsible for confirming and processing all matching gifts. Communicate with matching gift companies when necessary to retrieve gifts, make inquiries, complete documentation, and resolve problems.

  • Point person for vendor logins to retrieve any gift directed through a third-party giving vehicle.

  • Support the Director of Donor Systems & Information Management with the month-end gift reconciliation and reporting processes, gift adjustments, including trouble-shooting by working with MGB Finance and Treasury.

  • Work with the Systems & Operations team to review and revise business rules associated with gift processing.

  • Provide weekly gift updates to the team, highlighting any notable gifts or giving patterns.

ACKNOWLEDGEMENTS

  • Manage the acknowledgements process for all gifts, including facilitating custom letter changes with appropriate technical support from the Enterprise Development Office.

  • Manage year end receipting for payroll and recurring gift donors.

  • Support custom letter processes as required, including one off custom letters.

  • Manage fiscal year letter updates working directly with the Director of Donor Systems and Information Management.

DIGITAL FUNDRAISING SUPPORT

  • Support event, communications, and other team members with the set up for gift imports from all online platforms and campaigns.

  • Enter and process all offline platform gifts to peer-to-peer campaigns and other campaigns and ensure monthly gift reconciliation between platforms working directly with the Donor Systems Support Specialist.

  • Manage the Double the Donation vendor relationship, including technical set up and strategic implementation with approvals from Communications and Annual Giving directors.

GENERAL DEVEPLOMENT ADMINISTRATION & SUPPORT

  • Process basic constituent updates including merge, deceasing and address changes.

  • Complete any tasks as assigned for the CRM Maintenance & Reporting schedules

  • Complete Petty Cash Reconciliation forms as requested.

  • Oversee any interns, train and assign projects.

  • Participate in training of back-up gift processors.

  • Staffs fundraising events on an as-needed basis, as requested by supervisor.

Qualifications

Education/Degree

Required: Bachelor’s Degree

Experience

Required: 4 years of related work experience, including gift processing or data entry, with development office experience preferred.

Required: Minimum of 2 years of donor database experience, preferably Blackbaud CRM, Raiser’s Edge, or similar platform.

Preferred: Experience in a development office working with a variety of fundraising initiatives.
