Summary:

The Education Program Manager oversees and supports the daily operations of all residency, fellowship, and clerkship programs in the Department of Surgery. This role ensures compliance with accreditation standards and institutional policies, providing guidance, training, and mentorship to coordinators to enhance the quality of training programs. The Program Manager will act as a liaison between coordinators, program directors, and the GME office to ensure cohesive and efficient program management. The position reports directly to the Director of Academic Affairs and indirectly to the Associate Chair of Education.

Responsibilities:

  1. Supervision : Responsible for managing team of program coordinators. May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours.
  • Identify and development opportunities and provide development training sessions.

  • Foster a collaborative and supportive work environment, promoting team cohesion and effective communication.

  • Lead regular meetings with coordinators to address concerns, share updates, and ensure consistency across programs.

  1. Financial Management : Develop and manage the budget for the GME/non-GME training programs in the Department of Surgery.
  • Seek and manage funding opportunities, including grants and scholarships.

  • Advise leadership on program budgetary needs and monitor program expenses within budget constraints.

  • Implement and reinforce financial policies.

  1. Data Management and Reporting:
  • Collect, analyze, and report program data, including milestones, case logs, duty hours, and survey results.

  • Prepare and submit required reports to institutional and external bodies in a timely manner.

  • Utilize residency management software to maintain accurate and up-to-date records.

  1. Program Administration: Serve as the primary point of contact between program coordinators, faculty leaders, central administration and the GME office.
  • Responsible for ensuring resident/fellow and program compliance with policy, accreditation, and regulatory requirements and that appropriate documentation is maintained.

  • Collaborate with program directors and faculty to develop and implement curriculum, rotations, and educational activities.

  • Organize and manage educational events such as grand rounds, conferences, and workshops.

  1. Programmatic Growth: Interface with units and teams within the organization to effectively communicate strategies, successfully elicit support, and provide assistance implementing those strategies.

  2. Continuous Improvement:

  • Identify opportunities for process improvement within the training programs and overall infrastructure.

  • Lead initiatives to enhance the efficiency and effectiveness.

  • Stay current with trends and changes in GME, accreditation requirements, and residency program management.

Other Information

Education Requirements:

● Bachelor’s degree in Accounting, Business Administration, Finance, Health Administration or related field.

Licensure/Certification Requirements:

● No licensure or certification required.

Professional Experience Requirements:

  • Five (5) years of program/project management experience.

  • If Master's degree, three (3) years of program/project management experience.

Knowledge/Skills/and Abilities Requirements:

  • Minimum of 5 years of experience in graduate medical education.

  • Comprehensive knowledge of ACGME accreditation standards and residency/fellowship program requirements.

  • Strong organizational, communication, and interpersonal skills.

  • Proven ability to lead, mentor, and develop staff.

  • Ability to manage multiple tasks and projects simultaneously, meeting deadlines with attention to detail.

  • Demonstrated problem-solving skills and the ability to handle sensitive and confidential information.
