Job Title: Administrative Coordinator
Job Description
The candidate will prioritize tasks for multiple executives, manage complex calendars, and handle sensitive business information with discretion.
Responsibilities
Prioritize tasks effectively for multiple executives
Manage complex calendars
Anticipate challenges and proactively find solutions
Think critically and make informed decisions under pressure
Craft professional emails, reports, and presentations
Organize high-level meetings, prepare agendas, and take minutes
Work within Microsoft Office Suite products
Handle sensitive business information with discretion and integrity
Protect executives’ schedules and decision-making processes
Work independently with minimal supervision
Oversee special projects
Plan and coordinate events
Influence without authority and build strong relationships across departments
Manage high-pressure situations calmly and efficiently
Administer a department or program budget, including participating in budget development and establishing fiscal goals and objectives
Monitor various accounts, analyze budgetary trends, and prepare fiscal reports for management
Advise supervisors on budgetary matters
Develop and revise work procedures and methods, train employees in work procedures
Supervise subordinate employees in administering program activities, including selection, training, evaluating, counseling, and disciplining
Perform departmental or program purchasing administrative functions
Perform space allocation functions, including recommending space reallocation, addition, and renovation
Serve as a resource for management and employees in interpreting and applying policies and procedures
Refine, develop, implement, and communicate departmental and health care system policies and procedures to employees
Investigate and resolve specific operating problems
Serve as a human resources representative, ensuring compliance with HR policies and procedures, and liaising with Human Resource Services for recruitment, retention, classification, compensation, and employee relations issues
Essential Skills
2+ years’ experience as an administrative assistant supporting executive/director level leadership
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong written and verbal communication skills
Excellent organizational skills
Ability to work independently
Additional Skills & Qualifications
Experience in budget administration and fiscal reporting
Ability to develop and revise work procedures
Supervisory experience
Experience in purchasing administrative functions
Knowledge of space allocation and project monitoring
Understanding of HR policies and procedures
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
