HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily

  • Completing transactional duties with special attention to detail, being organized, and multi-tasking

  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant IV, your day-to-day responsibilities will include:

  • The Admin Assistant (AA) shall, under Staff direction, provide administrative support services to assist the Front Offices of two divisions in meeting the overall mission and day-to-day requirements

  • The AA will manage the workflow of continuously changing priorities, schedules, and action items for the two division Chiefs and Deputy Chiefs within the Front Offices

  • Based on the changes in office priorities, the AA will have authority to independently schedule/reschedule meetings and ensure that all parties involved are updated

  • The AA must be cognitive of the criticality, sensitivity, and confidentiality of the issues they are made aware of during daily interactions

  • The AA will be responsible for keeping the Chiefs and Deputy Chiefs informed of daily activities and high priority taskings that may require immediate actions

  • The AA shall maintain and distribute as appropriate, the Senior Executives' schedules using any/all organizational tools, daily "calendar cards", and any other means available/necessary to disseminate/update the schedules

  • The AA will coordinate meetings, research taskings and distribute mission related information to key personnel

  • The AA may assist in action tracker taskings, and coordinating incoming requests for Front Office personnel to ensure deadlines will be met

  • The AA shall be able to distill the purpose, importance, and audience and summarize for the Senior Executives' understanding of all correspondence, e-mails, etc

  • The AA shall be able to glean any important nuances or sensitive topics and highlight them for Senior Executives' attention

  • The AA will answer phone calls and receive visitors while resolving conflicts with discretion, forethought and tactfulness

  • The AA will maintain all contact information for the Division, submit employees for database access, assist with on-board/off-boarding, and collaborate with logistics on equipment and supplies

  • The AA will manage the Front Office calendars for both Divisions, including the Division conference room and leave calendars

  • The AA will prepare panel books and other administrative items for the Chiefs and Deputy Chiefs

  • The AA will prepare, schedule and maintain the shared folders and final documentation for Senior Leadership Team meetings and presentations

  • The AA will approve conference room requests for internal assigned conference rooms via reservation system

  • The AA will assist with special Honor and Merritt Award ceremonies and other Division events as requested

  • The AA will also manage travel arrangements and reconciliation of any associated documentation and travel actions for the Front Office personnel

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • High School Diploma and seven (7) years of relevant experience or equivalent combination of education and experience

  • Core hours are 9:00am-3:00pm

  • Proficient Word, Excel, Outlook, PowerPoint

  • Able to perform duties with minimal supervision and some team interaction

  • This position is on customer site

The likely salary range for this position is $132,964 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
