Amentum Project Coordinator in Chandler, Arizona

Provide general overall FM administrative support, including continuous monitoring of the facility. Work with the Project Managers to handle routine facility management operations, including the procurement of necessary supplies and services, issuing purchase orders, managing bid requests and service/construction contracts, processing of accounts payable and accounts receivables, directly supporting the Project Team with ongoing facility and PM Team related responsibilities, including, but not limited to:

  • Provides facility-specific assistance to the Project Team.

  • Assists with the receiving and dispatching of Work Orders/Work Requests to the Project Team, vendors, or other service providers.

  • Provides support for meeting and conference room reservations for project meetings and as needed by others.

  • Work with the Project Team and own the responsibility for tracking and managing the workflow, ensuring timely reporting, receipt of materials, scheduling of job walks, etc.

  • Assist with budgetary requests, analysis, and reporting budget variances

  • Helps support facility-specific, cost-savings targets that contribute to and achieve significant savings portfolio-wide.

  • Provides support for guests, visitors, and employees at client locations.

  • Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.

  • Demonstrate leadership, responsiveness, and creativity in finding solutions for service delivery.

  • Reads and comprehends the applicable Service Level Agreements and helps to achieve the Key Performance Indicators (KPIs), scoring favorably on the client satisfaction surveys.

  • Ensures appropriate follow-up with customers.

  • Continually seeks to improve processes, systems, and overall client satisfaction.

  • Provides direction/information to vendors, facilities staff, and service providers as required, ensuring excellent coordination and execution of work within the client environment with minimal disruption, as needed.

  • Must be proficient in Microsoft Office Suite: in Excel and capable of customizing administrative reports; in PowerPoint and creating and presentation slide decks.

  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously.

  • Ensure accuracy and timely updates to all Project Trackers to communicate updates, ensure successful execution of project deliverables, and seek input from project stakeholders.

  • Demonstrated ability to work independently yet proactively, always seeking solutions and actively contributing to the team.

Additional Information:

  • This position may require a valid state driver’s license.

  • This position does not include sponsorship for United States work authorization.

  • This position may require various shifts, weekends, and alternative work schedules.

  • Must be a U.S. Citizen or Permanent Legal Resident.

  • High school diploma or equivalent and advanced secretarial training.

  • Qualified applicants who are offered a position must pass a pre-employment background check and substance abuse test.

  • This position will require the ability to obtain a security access badge at our client’s location.

  • Requires working knowledge of commonly used PC applications such as word processing, spreadsheets, and databases.

  • Superior customer service skills and orientation.

  • Ability to maintain professionalism at all times under stressful situations.

  • Ability to plan and manage work under time constraints.

  • Ability to multitask and work without direct supervision.

  • Proficient in MS Office, and possess strong written, verbal and people skills.

  • Strong organizational skills and collaborative style needed.

  • 8 years’ relevant experience with focus on Facility or Property Administration.

Physical Requirements:

  • Some tasks will require repetitive wrist movement.

  • Some tasks will require the ability to walk extensively throughout facilities during a workday.

  • Requires ability to read and understand information contained in a variety of documents or displayed on a computer screen.

  • Requires ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents.

  • Requires ability to attend meetings throughout the site and potentially travel to other Amentum, customer and/or vendor locations in the area, as well as some air travel to more distant locations.

  • Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings and presentations.

  • Demonstrated fluency in computer use including the full Microsoft product line.

  • Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.

  • Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.

  • Wear Personal Protective Equipment as needed.

  • Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained.

Preferred Qualifications

  • 2 years of prior experience supporting the Intel customer.
