JOB GOAL:

GENERAL JOB SUMMARY:

The Registrar’s Office supports students and the college through responsible and accurate maintenance of student records and consultation and guidance on issues related to course scheduling, student information systems, and related enrollment processes and procedures. The Records Specialist I, with limited supervision, contributes to this through entering and processing student data into Kirkwood’s student information system. The position works with complex student data maintenance tasks and runs student record processes. The position assists students over the phone and through email.

DUTIES/RESPONSIBILITIES:

  • Spend at least 50% of the day assisting students through email or over the phone.

  • Provide general assistance to students, e.g. adding or dropping classes, responding to information requests, processing enrollment verifications, and assisting students with registration issues.

  • Process and audit student record change requests.

  • Import data such as test scores and major changes on a daily basis.

  • Represent the College in the most positive manner to students, parents, and community members.

  • Interpret and apply college procedures to individual student situations.

  • Develop a working relationship with other departments within Kirkwood.

  • Perform other duties as assigned.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.

MINIMUM QUALIFICATIONS:

  • Associate degree required.

  • Must have recent and relevant experience or education related to modern databases and other computerized systems.

PREFERRED QUALIFICATIONS:

  • Experience working in higher education.

  • Experience with Ellucian Colleague student information system.
