RailWorks Administrative Assistant in Casselman, Ontario

Primary/Essential Duties and Responsibilities

  • Answers phones, directs calls, takes messages and provides general office support to AP, AR, Payroll, Operations and Field Crews. Meets and greets visitors.

  • Provides general office support by performing administrative and clerical duties such as opening and sorting mail, preparing courier, maintaining office supplies, maintaining spreadsheets and databases, photocopying, filing, hotel bookings, flight bookings, maintaining gas cards receipts, collect vehicle mileage, office keys, security system codes, cleaners, building landlord.

  • Order, track and manage assets such as iPhones and iPads. Manage Bell Mobility bill and office phone list.

  • Event planning: Organize annual golf tournament and holiday party for all Ontario divisions which includes budget planning, ordering promotional items, attending and managing events.

  • Manage Facebook page, write newsletter, and manage print jobs and business card orders.

  • Assists in special projects as required and performs other related duties as assigned.

    Requirements

  • High School Graduation supplemented by completion of a post-secondary program in Business Administration.

  • A minimum of two (2) years of recent related office and accounting experience. Experience in the construction industry or project based environment is preferred.

  • Proficiency in the use of software applications such as MS Office; SharePoint; Social Media; Websites.

  • Demonstrated ability to multi-task, organize work, prioritize and work to deadlines.

  • Ability to handle confidential and sensitive information and to perform with a high level of professionalism and integrity.
