The Opportunity:

The Program Support Officer plays a crucial role in ensuring the successful support, governance, and execution of KBR Programs. They are responsible for administrative support (such as scheduling, SharePoint management and documentation generation) and travel support across several programs and will work closely with both the Senior Program Manager – Space, Cyber and Information Systems as well as individual Program Managers. The role will also support with the coordination of risks across programs and projects, liaising with specialist stakeholders to ensure that the risks and treatment requirements are appropriately recorded.

The Program Support Officer will be required to leverage KBR and client systems to support project staff, and is required to have a solid understanding of the governance requirements of both KBR and the client in question. The position requires a highly analytical and organized individual with a keen eye for detail, with a working knowledge of the Microsoft Office product suite and SharePoint. Communication skills, both verbal and written, are critical for the role in view of the dynamic nature of projects required to be supported.

Responsibilities

The key responsibilities of the role will include, but are not limited to:

  • Collaborate across the business to support the operationalisation and administration of compliance to travel both domestic and international.

  • Assisting teams in the preparation of required documentation to support finance, procurement and travel ensuring completeness and maintenance of appropriate records as required.

  • Support Risk Management requirements across programs, including the recording and updating of Risk Management databases and treatment plans.

  • Support meeting engagements, including scheduling, documentation preparation and meeting outcome correspondence.

  • Update and maintain program records and databases, complying with administrative systems and processes to ensure that all information is accurate, stored correctly and accessible.

    As the ideal candidate you will bring:

Essential:

  • Excellent organisational and administrative skills

  • Working knowledge of SharePoint and the Microsoft Officer product suite

  • Ability to work independently with limited direction

  • Experience with travel bookings and overseas travel requirements

  • Experience with risk management

  • Good listening skills, with a high attention to detail

  • Demonstrated experience in governance and compliance of programs of work

  • NV1 Security clearance

Desirable:

  • Bachelor’s degree in Business Administration or a related field

  • Defence or defence industry experience
