A minimum of 3 years of related experience. Education may count toward years of experience. Computer proficiency in word-processing, data entry, spreadsheet and database software knowledge and experience.

Additional Qualifications and Skills:

  • Bachelor’s degree strongly preferred.

  • Experience in higher education and/or at Harvard preferred.

  • Strong critical thinking and problem-solving skills;

  • Exceptional oral and written communication skills;

  • Aptitude for learning complex policy-based concepts and administrative procedures and applying them to new situations and projects;

  • Ability to independently gather data, compile and organize information, and prepare assessments;

  • Capacity to work effectively with internal constituencies and external parties that have relationships with Harvard;

  • Ability to handle confidential and at times, highly sensitive, information with discretion;

  • Flexibility and capacity to respond calmly and professionally in stressful situations;

  • Ability to work independently, as well as part of a team;

Additional Information:Please note that candidates invited for interview will be expected to provide two writing samples. Finalists may be required to complete a writing assignment.

This position has a 3-month orientation and review period.

Job Function:General Administration Position Description:Manages the Trademark Program’s use-of-name email account and use-of-name inquiries from other sources:

  • Intakes and triages all inquiries, providing referrals to other University departments and units as necessary;

  • Acknowledges use-of-name inquiries from both internal constituents and external parties;

  • Conducts preliminary reviews of inquiries (including requests for third-level Harvard domains and general @harvard.edu email aliases);

  • Maintains the Trademark Program’s use-of-name records in the email account.

In Consultation with the Senior Policy Advisor, conducts Use-of-Name Reviews and Assessments:

  • Reviews and analyzes confidential, and at times, highly sensitive, use-of-name inquiries from members of the Harvard community and from external parties that have business relationships with Harvard;

  • Ensures that resulting assessments are in accord with the University’s use-of-name policies and guidelines, as well as established practices;

  • Issues written determinations based on those assessments.

Assists the Senior Policy Advisor with the following:

  • Advising members of the Harvard community on the resolution of use-of-name matters and educating members on the application of the University’s use-of-name policies and guidelines to those matters;

  • Identifying, developing, and implementing process improvements related to the effective administration of the policies and guidelines;

  • Training and advising the use-of-name representatives for Harvard’s schools on the application of the use-of-name policies and guidelines to school-related use-of-name matters;

  • Providing support for use-of-name components of requests for internal insignia items (SWAG).
