Sanofi Group Executive Administrative Assistant in Cambridge, Massachusetts

The Executive Administrative Assistant will be responsible for providing project management and administrative support to the Global Medical Head of Dupixent Franchise. This role requires a very high level of administrative skill and technical competence as the organization is complex and the brand a priority asset for Sanofi. Strong oral and written communication skills, flexibility, adaptability, collaboration, and the ability to manage multiple tasks of equal/varying priorities is essential. Responsibilities will include but not be limited to managing key projects, booking and managing national and international travel, expense reporting, organizing meetings and administrative support for critical alliance activities.

DUTIES & RESPONSIBILITIES

  • Manages multiple, often conflicting, priorities in a fast-paced and demanding environment.

  • Fulfills scheduling and coordination, document development, screening, and reporting for the area, including on-site administrative support.

  • Proactively manages calendars, schedules meetings, organizes events, manages domestic and global meeting logistics, and arranges domestic and international travels with both internal and external parties. Ensures efficient and compliant processing of expenses.

  • Maintains and establishes regular contact with Vaccines executives as well as Sanofi executives.

  • Exhibits exemplary behaviors that facilitate and enhance performance of all Sanofi and top-level management.

  • Model all Play-to-Win behaviors and contribute to a positive and inclusive culture.

  • Prioritizes and executes tasks with minimal direction or supervision.

  • Provides a positive presence and excellent support with communications and meetings in person.

  • High level of confidentiality and professionalism due to the nature of work relating to potential future initiatives/projects with significant impacts on Sanofi globally.

  • Ensures timely status of projects under the control of the area executive.

  • Establishes workflow priority based on assessment of tasks and consideration of interdepartmental needs. Ad hoc project support as needed by leadership team members.

  • Interfaces with important functions such as P&C, Finance (incl. Procurement), Facilities, and Digital/IT. Prepare documentation for payment of vendors, consultants, and suppliers; submit SOW and track lifecycle of submission thru execution of Purchase Orders; respond to inquiries from accounts payable and payees.

  • Uses tact, diplomacy, sound judgement, and informed decision making to ensure the on-going operation of the business area.

  • Requires high degree of business acumen. External contacts involve regular association and establishing business relationships with high level executives and senior management from other companies both domestic and international.

PREFERRED QUALIFICATIONS

  • High School Diploma or GED and 6+ years executive administrative experience.

  • High level off proficiency in using technology including Microsoft Office Suite (Outlook, Excel, PowerPoint, Word and others). High level of proficiency in scheduling and operating Zoom meetings. Experience with SharePoint content administration.

  • Familiarity with pharma industry and business organization

  • Experience supporting senior-level business leaders

  • Excellent verbal and written communication skills

  • High ethical standards, maintenance of confidentiality

  • Ability to work independently and proficiently in a global, multi-site, multi-national environment

  • Ability to prioritize effectively and collaborate with cross-functional team members and other administrative staff

  • Establishes and maintains good working relationships and internal networks with minimal direction; demonstrated ability to work effectively and cooperatively in a team environment.

  • Ability to navigate organization with minimal direction, in support of completing task

  • Strong initiative, tact and diplomacy, and interpersonal skills a must

  • Ability to focus on and manage successfully changing priorities dictated by a fast paced internal and external environment.

  • Flexibility with time
