  • Demonstrated leadership, supervision, coaching and communications skills; understanding of principles behind organizational development.

  • Experience serving as an expert source of information, with a collaborative and flexible style; developing trusting long-term relationships with constituents; and creating and maintaining a team culture with a commitment to unparalleled support services and discretion.

  • Ability to work collaboratively across all levels of an organization. Understanding of principles and trends in systems administration, data management, digital communications and social media.

Departmental Operations Management

  • Advises on and implements strategic decisions, addressing daily team and participant issues in a dynamic environment.

  • Develops solutions while balancing individual and organizational needs and identifies opportunities for cohesive policies across teams.

  • Implements policies and procedures for effective department administration.

  • Oversees front office operations, supply management, office access, emergencies, and resource availability for faculty, staff, students, and visitors.

  • Oversees events and catering, and manages the public website, intranet, and external communications.

  • Develops systems for file storage and archiving and prepares necessary reports.

  • Departmental Staff Management

Departmental Staff Management

  • Manages the Administrative Operations team, including direct reports like the Administrative Coordinator, Events & Communications Coordinator, and student staff.

  • Establishes team goals, performance metrics, and provides coaching for individual and team growth.

  • Leads team meetings and activities to foster cohesion and maximum impact.

  • Serves as a mentor and coach to department staff.

Human Resource Management

  • Implements workforce planning to meet strategic goals, handling appointments, recruitment, and termination actions.

  • Manages compensation activities, performance reviews, employee engagement, and talent development.

  • Advises on HR issues and mediates when necessary.

  • Builds a diverse staff through strategic recruiting, training, and programming.

  • Handles employee relations, including complex leaves and union-related matters.

  • Ensures compliance with university policies and legal regulations.

  • Implements systems for policy compliance and maintains relationships with HR representatives.

  • Oversees staff payroll and participates in HR strategic initiatives.

Building Management and Projects

  • Oversees all facilities management aspects, including operations, maintenance, space planning, and renovations.

  • Contributes to organizational strategy for facilities development, manages office allocations, and coordinates with building tenants.

  • Manages large-scale projects and ensures completion within departmental workflows.

  • Advises on the design of new building to enhance functionality and engagement.

Cross-functional Systems and Workflows Oversight

  • Identifies needs for cross-functional policy development, ensuring information sharing across programmatic areas.

  • Establishes knowledge management systems and leads internal resource management projects.

  • Collaborates with the ED to establish working group structures for policy development and staff engagement.

  • Implements department programming and communication norms to foster information-sharing and learning.

Academic Appointment Management

  • Develops systems for managing non-ladder academic appointments, including annual and visiting appointments.

  • Manages the Non-Ladder Visitor Budget with the Director of Studies and Office of Faculty Affairs.

  • Oversees academic appointment payroll and builds orientation programs for predoctoral fellows.

Additional Responsibilities

Serves as a back-up to the Executive Director, representing them in meetings when necessary and performing special projects as required.
