Administrative Specialist (Substation Operations)
QUALIFICATIONS:
- High School diploma or equivalent
- Proven ability to communicate and work with others
- Ability to learn programs such as Cascade and SAP
- Proficient in Microsoft Word, Excel, Access and Outlook
- Excellent organizational management skills
- Ability to problem solve and handle multiple conflicting tasks
- Must be able to work under time pressure
- Ability to pass a background check
DUTIES INCLUDE:
- Plan, maintain and coordinate calendars and schedule various meetings
- Code and process incoming invoices
- Ensure employee time is entered and coded correctly
- Maintain data on material suppliers, costs, delivery lead times and quality of equipment
- Support equipment forecasting with vendors/manufacturers in relation to NWE's 5-10 Year Plan
- Support equipment purchasing; requesting quotes, creating purchase orders, ensuring orders meet technical specifications, store and organize approval prints, correspond with vendors, etc.
- Support engineering and operational teams by providing timely reports and data on equipment availability and readiness; this includes both stores inventory and materials that are on order
- Keep accurate records of equipment lifecycle, including purchase, maintenance and decommissioning; this will include coordination with other departments including compliance and finance
- Analyze data to identify trends in equipment failures, or inefficiencies to help reduce risk across the system
- Propose changes for improving procurement processes, or enhancing overall efficiency in equipment management
- Ensure compliance with safety standards, maintenance regulations and procurement policies
- Support regulatory compliance by ensuring that the substation equipment is functioning within regulatory and safety standards by monitoring data (inspection data such as oil samples)
- Assist with annual reporting
- Assist in development and implementation of systems that fulfill the mission and the goals of the department efficiently and effectively
- Communicate regularly with other departments, groups and staff within the organization
- Most of the time is spent working in an office environment utilizing office resources with occasional walking, lifting and/or carrying of lightweight office materials and computer equipment
- Complete administrative tasks, including but not limited to managing files and correspondence
- Prepare conference room and office for internal and external meetings, lunches, visits, etc.
- Perform other duties as assigned

Full-time position.
$17.65 - $33.07 per hour, depending on experience.
