Job Description:

Position Summary: Under the general direction of the office supervisor, performs administrative and operational support functions for the Pathology department. Pathology Secretary must perform functions/tasks independently with minimal supervision in a fast paced environment with a high level of accuracy. Knowledge of medical terminology and standard office equipment is necessary.

Essential Duties and Responsibilities

Transcribe and extract all draft and final versions of Pathologist and Pathologist Assistant grossing description dictations. Up to and including spell check and proof reading for clarity and grammar. Answer all incoming phone calls with proper etiquette. Respond to needs of caller. Activities involve:

Liason with internal physicians and physician extenders to complete send out testing ordering.

Prepare all packaging of specimen material for send out mailing

Respond to external clients requesting specimen material and patient medical information.

Respond to internal physicians and physician extenders requests for results and /or changes to specimen processing status.

Respond to internal requests for corrections to the pathology medical record

Respond to Lahey Research administration requests Respond to Lahey patients request for preparation of specimen materials Manage and screen incoming calls for the department Pathologist and Laboratory Manager Department Pathologist slide distribution and specimen allocation

Follow specific guidelines to assure equal slide distribution and appropriate triage of cases to the appropriate pathologist expertise.

Manage and assign pathologist to appropriate workload section:

reference laboratory. Assure results reviewed by pathologist and communication to the ordering clinician. Assure results are posted to the patients EHR. Manage all addendums and scans to incorporate to the final pathology report. Manage all incoming and outgoing FAX transmissions. File all completed patient material slides. Open all incoming patient Cytology and Surgical consult material. Prepare consult registration, assign case number, distribute specimen to appropriate pathologist. Assure appropriate billing and invoicing is applied. Coordinate with each Pathologist the preparation of slide material and reports for clinical medical conferences. Open all incoming mail, open, review and distribute accordingly.

Minimum Qualifications:

Education: High School Diploma or Equivalency is required. Science background or experience working in healthcare is desirable.

Licensure, Certification, Registration: None required

Skills, Knowledge & Abilities:

Must have excellent computer skills and the ability to use PC based software/systems effectively.

Word processing, medical terminology and other office skills to efficiently produce necessary documents.

Must have effective oral, written and interpersonal skills.
