In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, theProject Managerplays a crucial role in facilitating the successful planning, execution and completion of grants-funded programs. Operating from the Grants and Programs Portfolios Department, the position assists multiple program managers across the organization with implementing program cycles for grants and other funded projects of various durations. The Project Manager collaborates with cross-functional teams, ensuring that program managers deliver projects on time, within scope, within budget, and in adherence to quality standards.

Essential Functions

Program/Project Development and Implementation

  • Collaborates with program/project managers and coordinators to support the execution of project activities and deliverables; coaches and assists program managers throughout entire grant lifecycle; monitors and assists with compliance requirements, timelines, and deliverables for multiple programs simultaneously.

  • Guides the development and implementation of grant-funded programs, ensures alignment with organizational goals and community needs using the Getting To Outcomes model.

  • Collaborates with stakeholders, including project leaders to develop comprehensive project plans, outlines scope, objectives, timelines, resource requirements, and ensures Continuous Quality Improvement after grants are awarded.

  • Participates in reviewing grants applications and contributes grant application narratives for specific sections, as requested.

  • Maintains and updates project schedules to ensure alignment with organizational goals and deadlines after grants are awarded.

Data Analysis and Reporting

  • Ensures the data collection and analysis of program data occurs to measure impact and inform decision-making.

  • Assists in the preparation of comprehensive reports for funders, stakeholders, and organizational leadership.

Training and Capacity Building

  • Develops and delivers training, mentoring and coaching programs for program staff to enhance their understanding of grant compliance, reporting, and program management best practices.

  • Provides ongoing support to ensure the quality and impact of program delivery.

Collaboration and Stakeholder Engagement

  • Collaborates with internal departments, community partners, and funders to enhance program effectiveness.

  • Leads and manages the project team(s) for awarded grants, including cross-departmental work groups as needed. Fosters a collaborative and positive team culture to enhance productivity and creativity. Helps address and resolve conflicts and issues within the project team in a timely and effective manner.

  • Conducts regular team meetings with relevant project staff in each department awarded a grant. Delegates project tasks ensuring alignment and progress.

Execution and Monitoring

  • Helps execute project contracts with funders, subcontractors etc.

  • Monitors project progress and adjusts as necessary to ensure successful delivery. Generates regular updates or reports for project stakeholders, highlighting progress, issues, and key metrics. Ensures adherence to project timeline, budget and compliance, including reporting to project funders.

  • Cooperates with project leader(s) for the grant-awarded department to help manage budgets for projects. Coordinates with Grants Financial Manager, Grants Accountant and Finance staff.

  • Creates and maintains comprehensive project documentation, including project charters, status reports, and meeting minutes.

Quality Assurance and Risk Management

  • Ensures that project deliverables meet established standards and specifications. Implement quality assurance processes to ensure the delivery of high-quality project outcomes.

  • Conduct project reviews to identify areas for improvement and implement necessary changes. Conduct post-project evaluations to identify areas for improvement.

  • Identify and assess potential project risks that may impact project delivery and develop strategies to mitigate potential issues.

  • Proactively address challenges and roadblocks to keep the project on track. Collaborate with team members to develop contingency plans and alternative solutions.

Strategy

  • Identifies and makes recommendations to agency leadership for new projects that will advance the agency’s mission within its strategic focus.

  • Identifies and makes recommendations to affiliate leadership on opportunities for adjusting or seeking additional institutional funding in the best interests of the agency; creates and participates in the execution of strategies to realize identified opportunities.

  • Performs other duties as assigned.

Requirements

Applicants must possess the following qualifications(or equivalent combination of education and experience):

Education—

  • Bachelor’s Degree in Health Care, Community/Public Health, Gender Studies, Business, Communications, English, Administration, Social Work, Psychology, Sociology, Cultural Anthropology, Human Services, Sciences or other related fields.

  • Master's degree preferred

Experience—

  • Minimum 2 years experience in project management, with a focus on grant-funded initiatives.

  • Knowledge of Getting to Outcomes: Improving Community-Based Prevention programming methodology preferred.

  • Experience with public (government) and private (foundation) grants, including reviewing requests for applications/proposals, submitting applications, executing contracts, and reporting results to funders preferred.

  • Strong leadership and interpersonal skills. Experience with supervising people and managing teams preferred.

  • Familiarity with healthcare organizations and/or community-based organizations preferred.

  • Project Management Professional certification coursework complete preferred, certification complete or pending preferred.

Knowledge, Skills, & Abilities

  • Strong project management skills with a proven track record of successful program development and implementation. Proven experience as a Project Manager, with a successful track record of managing complex projects from initial to final steps.

  • Excellent written and verbal communication abilities.

  • Demonstrated organizational skills and attention to detail.

  • Must have experience working well both independently and as part of a team with other departments and organizations.

  • Must possess the ability to work with changing priorities and simultaneously handle multiple projects.

  • Excellent data analysis and reporting skills.

  • Collaboration and leadership skills. Ability to thrive in a fast-paced and collaborative environment.

  • Familiarity with grant management and grant financial operations preferred.

  • Proficiency in project management tools and software preferred.

  • Proficiency in Microsoft Office (such as Word, Outlook, SharePoint, Teams, Excel, Forms etc.) is required.

  • Must be able to work a flexible schedule to support meetings and activities and to travel to other sites when needed.

Work ScheduleThis is a full-time, 40 hour a week, position; regular schedule will be Monday – Friday with occasional evenings and weekends.

Benefits & CompensationAt PPCWNY, we are committed to equitable compensation practices and transparency. In alignment with these efforts, the pay for this position ranges from $68,536.00 to $79,352.00/year. Actual compensation will be determined by experience and other factors permitted by law.
