The Program Support Specialist facilitates effective patient care through a combination of administrative support, medical provider and counselor support, and direct patient support duties. This position serves a critical role as part of the multi-disciplinary treatment team. The Program Support Specialist works closely with patients and family members, conducts outreach to referral sources, and liaises with community resources and referral sources.

As part of the essential functions of this role, the Program Support Specialist:

  • Serves as supplemental administrative support coverage for the mental health and substance use programs, both assisting patients presenting for appointments and managing incoming telephone calls.

  • Receives, processes, and triages all patient intakes and referrals for Mental Health and Substance Use treatment from within the agency as well as outside referrals. Works closely with program directors to manage high risk patients that align with program standards and requirements. Accurately schedules intake appointments.

  • Completes telephone outreach and other brief interventions to enhance patient motivation for treatment and show rate for scheduled appointments.

  • Conducts brief, individual harm reduction education sessions with high risk patients, as appropriate and requested, including but not limited to Narcan training.

  • Conducts role-appropriate brief clinical screenings and interventions with patients, as appropriate and requested.

  • Assists direct care staff with completion of paperwork on behalf of patients including, but not limited to: prior authorizations, releases of information and court reports.

  • Provides direct patient support, including but not limited to, conducting toxicology tests with patients, when requested by a treatment provider.

  • Facilitates data collection and report generation related to patient care, as requested. Completes required documentation into electronic charting system in a timely manner.

  • Identifies and develops relationships with community agencies that can assist with promoting programs and services targeted to high risk communities.

  • Provides a positive, welcoming, harm reduction, trauma informed, and customer service-oriented experience for patients.

    Qualified candidate will have an Associate degree or a minimum of two (2) years of experience in Behavioral Health program/services providing direct care or patient facing administrative support. Must possess experience working with diverse patient populations, including but not limited to people with mental health and/or substance use concerns and individuals who are racial/ethnic minorities, women, LGBTQ+, and individuals living with HIV. Preferred candidate will have working knowledge of electronic medical records software (Medent), knowledge of medical terminology and experience completing prior authorizations, interest in further professional development related to providing clinical services, and CASAC, CASAC-T, CRPA or CRPA-P (or interest in obtaining), preferred, but not required. Sensitivity toward cultural diversity, people living with HIV/AIDS and substance use is essential.
