Position Summary:

Applications are being accepted for an Office Administrator at the University at Buffalo Regional Institute ( UBRI ) (https://regional-institute.buffalo.edu/) , a research policy center in the School of Architecture and Planning. As the office administrator, you will coordinate daily operations, fiscal management, and office organization for a research team focused on economic development, workforce development, urban planning and sustainability.

This person will be responsible for the following tasks:

  • Serve as UBRI’s point person for University and School of Architecture and Planning coordination on issues related to contracts, fiscal management, invoicing, human resources, and related operational activities

  • Update paperwork, maintain documents, and record information as needed;

  • Prepare quarterly financial reports as well as project-specific reports related to fiscal and resource management;

  • Support project leads and director in problem solving across various projects;

  • Manage filing system and help to organize and maintain office common areas

  • Coordinate and schedule events and meetings as necessary;

  • Maintain office supply inventory, and office equipment and/or supplies as needed;

  • Update, maintain, and manage UBRI’s project management database;

  • Coordinate with University officials to negotiate contracts with clients/sponsors and to prepare project invoices;

  • Coordinate the work of subcontractors/supplies to ensure they meet project needs.

Minimum Qualifications:

  • Bachelor’s degree with 1 year of academic or other experience relevant to the position, including interest and knowledge of urban planning and policy development, economic development or community development;

  • Excellent writing, organizational, interpersonal, and time management skills;

  • Ability to work independently and collaboratively in a deadline-driven environment;

  • Excellent computer skills, including high proficiency in Microsoft Excel.

Preferred Qualifications:

  • A degree from an accredited institution relating to Financial Management or Public Administration (Examples include Management, Economics, Accounting, Non-Profit Management, and Public Administration);

  • A minimum of 5 years’ experience preferred

  • Database design experience (Microsoft Access, etc.);

  • Data visualization experience (Tableau, Looker, High charts, etc.);

  • Familiarity with Adobe Creative Suite (Illustrator, InDesign, etc.);

  • Familiarity with the Buffalo Niagara region.
