The Administrative Assistant provides reception, phone, and administrative support for the Information Systems department. This position reports directly to the Director of Information Systems, who shall determine the responsibilities of this position. These responsibilities may be revised, as necessary, with proper notification and training provided, where appropriate.

As part of the essential functions of this role, the Administrative Assistant:

  • Serves as receptionist and provides quality customer service in the Information Systems department, directing clients/patients, visitors, and vendors.

  • Creates, prepares, and types correspondence, minutes, and other documents for staff within Information Systems, as well as workgroups and other committee as needed. Utilizes the agency-approved project management tool to make updates on projects as needed.

  • Responsible for Information Systems orders. Assists managers with contacting vendors, acquiring quotes, preparing purchase orders, and organizing receipt and order information.

  • Keeps forms and program information up to date. Organizes, writes, and edits documents.

  • Develops and implements improvements in general office systems and procedures, ensuring consistency and efficiency in the office.

  • Stocks and maintains the cleanliness of the common area.

  • Schedules and sets up meetings. Reserves meeting space via the ticketing system and Outlook.

  • Assist the Director of Information Systems with software account administration as needed.

  • Places kitchen and office supply orders for Information Systems in accordance with current processes in place.

  • Provides direct support to Information Systems staff as requested/required.

  • Attends initial orientation, completes required annual trainings, and other trainings to strengthen skills and improve program outcomes.

  • Actively checks work emails, reads all company communications and stays up to date with organizational and department specific announcements.

  • Adheres to policies regarding working hours, break periods and proper use of the ADP payroll and benefits system.

  • Schedules meetings and books meeting rooms.

  • Other duties as requested.

    Qualified candidate Associate degree, or equivalent combination of education and experience with two (2) years experience in an administrative support. Candidate must demonstrate ability to communicate effectively and professionally with staff in both written and verbal communication. Ability to handle sensitive material, maintaining the highest level of confidentiality and displaying sound judgment, essential. Candidate must be proficient with computers and MS software (Outlook, Word) preferred. Candidate must have excellent organizational and time management skills and have high level of accuracy and attention to detail. Sensitivity toward cultural diversity, people living with HIV/AIDS and lifestyle and addiction issues essential.
