BRYAN ISD Admin Assistant, Risk Management in BRYAN, Texas
Primary Purpose: The Risk Management Administrative Assistant will assist in all risk management functions including claims management, insurance, workersi compensation, employee benefits, leaves and absences, safety and nursing services.Qualifications: Education/Certification:i High school diploma required or GED requiredSpecial Knowledge/Skills:i Demonstrated knowledge of work in a Risk Management Department requiredi Ability to maintain confidentialityi Ability to use independent judgment.i Excellent communication and interpersonal skills, both orally and in writing, and the ability to work effectively with a wide range of constituencies in a diverse community, including conflict resolutioni Experience working with word processor (Word and Excel)i Ability to perform basic arithmetic calculationsi Ability to handle busy telephone and manage multiple interruptionsi Bilingual preferredExperience:Three yearsi experience working in a Risk Management setting preferredMajor Responsibilities and Duties:1. Serves Risk Management customers as the first point of contact to the department by answering questions of lower complexity seeing solutions through completion. Triages more complex questions to Employee Benefit Officer, Safety Coordinator, Nursing Services Supervisor or Director of Risk Management. This will include answering calls as a backup to the Employee Benefit Office, Safety Coordinator, Nursing Services Supervisor and Director of Risk Management when they are not available.2. Support Employee Benefit Officer, Safety Coordinator, Nursing Services Supervisor and Director of Risk Management with scanning and filing documents in Lasefiche. Monitor the storage and destruction process of all records following the established records retention schedule and requirements of the Texas State Library and Archives Commission.3. Assist with Risk Management Department projects during peak seasons.4. Maintain harmonious working relationship with co-workers and assist them as appropriate.5. Promotes positive community relations through cordial, effective communication with the public.6. Assist the Employee Benefits Officer with the following: a) new hire enrollment of employees b) annual re-enrollment of all BISD Employees, c) request for documents for employee change of family status, d) set up new hires in benefit enrollment platform, e) work on eligibility status for FMLA and Temporary Disability Leave f) annual notices for retiree life.7. Conducts leave audits after every payroll. Works with campus administrators and supervisors to resolve missing information. Works with payroll and Human Resources to reconcile leave.8. Assist the Safety Coordinator with the following: a) tracking of monthly safety drills, b) tracking annual updates of campus emergency operation plans, c) updating campus users in Raptor, d) tracking monthly safety meetings and meeting notes, e) updating new employees in SafeSchools training data base, f) following up on completion of employee mandatory training in SafeSchools, g) scheduling lockdown drills, h) updating Safety Data Sheets in SafeSchools.9. Prepares memorandums, reports, agendas and other communications as needed for Risk Management Department.10. Assist the Nursing Services Supervisor with the following: a) monitoring of the monthly AED checks for all facilities, b) retention of records for all health related programs (i.e. UDCAs, unassigned Epi Pens, training documents, agreements, and tests)11. Assist Director of Risk Management with projects when needed.12. Other duties as assigned as needed.
