Job Summary

The Offices of The Dean of Students and Student Engagement and Leadership seek a self-motivated and organized individual to fill the role of Department Coordinator. The person in this position will primarily support the Office of the Dean of Students, serving as the administrative support specialist for the Class Deans and International Student liaison. The department coordinator will also provide scheduling and programmatic support for the Senior Associate Dean for Student Affairs and Dean for Student Engagement and Leadership.

Essential Functions

  • To provide comprehensive support and coordination for the Class Deans, including managing projects and serving as a liaison between department members and external stakeholders. The primary point of contact for greeting visitors and answering phones.

  • Provide comprehensive support and coordination to the International Program, including completing an online certification to become Designated School Official ( DSO ) to sign official forms, and continued education as a DSO .

  • Provide administrative support to the Class Deans, including managing calendars, scheduling meetings, handling correspondence, departmental projects, and coordination of departmental events and other special projects.

  • Provide administrative support to the Senior Associate Dean for Student Affairs and Dean for Student Engagement and Leadership, including managing calendars, scheduling meetings, departmental projects, and logistical support for programs/events.

  • Coordinating international travel arrangements for the International Student program, emergency travel as needed (domestic and international), and travel support for the Deans.

  • Submit credit card expense reports, invoices, and receipts to accounting.

  • Managing the coordination of student jobs, including approving timesheets.

    Education/Skills Requirements

Required:

  • A high school diploma or GED is required.

  • Solid understanding and strong working knowledge of Microsoft software (including Word, Excel, Outlook, and virtual platforms) and maintaining web pages.

  • A willingness and initiative to learn new computer applications.

  • Ability to work under deadlines and to multitask/pivot.

  • Excellent written and verbal communication skills.

  • Strong customer service skills (visitor, telephone, email).

  • Ability to successfully work as a team member and also individually.

  • Must have an understanding of, sensitivity to, and appreciation for the diverse academic, socioeconomic, ethnic, cultural, disability, religious background, gender identity, and sexual orientation of the College’s students, faculty, staff, and visitors.

  • Ability to recognize the importance of and necessity for confidentiality.

Preferred:

  • Associate’s degree, Bachelor’s degree or equivalent experience strongly preferred.

    Experience Requirements and/or Equivalents

  • 1-3 years experience working in a busy and fast-paced office environment is required

  • Experience working in a college setting is preferred.

    Standard Work Days and Hours

Year-round position, weekdays, 8:30 a.m.- 5:00 p.m, for 37.5 hours per week (.94 FTE ). Occasional requests for weekend assistance during Orientation (August/September) and Commencement (May).

  • The hiring range for this position is expected to be between $21.35 – 23.00 /per hour.
