Mississippi Employer Office Assistant in Brookhaven, Mississippi

Work Hours: Monday-Friday part-time 10 a.m.-2 p.m. or 1p.m. -4 p.m.

*Must have 3 years verifiable experience in accounting or payroll.


Position Summary:

Under the direction of the Director, this position is responsible for assisting in coordination of operational activities within Personnel, bookkeeping, as well as the efficient operation of all associated administrative functions. The Office Assistant must possess the ability to determine the most efficient means to complete assisgned tasks while conforming to safety codes, policies, procedures, and job requirements. Must have a clean background.

Essential Duties:

A.   Administrative Duties       1. Abide by and utilize given Company's employee handbook noting benefits administration, payroll processes, attendance/tardiness, leave request and W/C policies.       2. Assure compliance with state and federal employment and compensation laws.        3.Maintain personnel filing systems in a consistent, timely manner.       4. Submit updated reports in the utilized database as necessary.       5. Provide first report of injury to worker's compensation company.       6. Provide further worker's compensation information as required by company.        7. Perform other duties as assigned by the Director.       8.Code receipts, purchases and submit invoicing through the database.

B.   Bookkeeping Duties       1. Responsible for oversight of individual accounts by monitoring entries, auditing receipts, and monthly reconciliation through database.       2. Operate purchase order and payroll systems in a timely manner.       3. Work with databases regarding accounts payable and payroll, ensuring accuracy and timeliness.       4. Prepare reports as necessary.       5. Ensure that individuals are in payment status.       6. Monitor, reconcile, and provide quality checks on spend down sheets.       7. Update the Director with budgetary needs and reports.       8. Perform other duties as assigned.

C.   Customer Service       1.Treats customers (individuals served, families, co-workers, state officials, staff, and consultants) with respect, courtesy, and tact.        2. Listens to, responds, and provides follow-up in a timely manner to employees regarding the payroll processes.        3. Demonstrates fairness and good judgment when meeting expectations

D.    Teamwork        1. Communicates accurate information to others in a professional and courteous manner.        2. Works cooperatively with coworkers and shows respect to individuals served.         3. Accepts responsibility for own mistakes and takes action to prevent similar occurences.        4.Works to resolve conflicts to identify solutions in which all parties benefit.        5. Identifies team organizational goals and ways to work with coworks to accomplish those goals.        6. Displays a high level of effort and commitment to performing work.        7. Displays a "can do" attitude and seeks out responsibility.

Visual and Cognitive Effort        1. Must be able to read, write, type, and make calculations and to follow oral and written direction. Must be able to communicate effectively both in writing and orally.        2. Must be able to complete all neccessary paperwork via computer or forms.        3. Must have knowledge and experience of bookkeeping and payroll processes.        4. Must have knowledge of computers, word, Microsoft and more.        5. Must be able to give verbal and written instructions to staff.

Physical Demands and Working Conditions: Extensive amount of word processing and data keyboard entry are required. Minimum amount of lifting, pulling, and pushing are required. Work is performed indoors. Mobility from one place to another is requird. This is a small office-like setting with varying degrees of background noise. Lighting and ventilation as found in normal office setting. Smoking areas are designated outside.

*Qualifications * Must have some previous experience in personnel, benefits, payroll, computer, compensations, bookkeeping, filing and knowledge of Federal and state employment law.
