The Part Time Administrative Assistant ensures that all correspondence, written reports, and telephone communications are handled in a manner that reflects the quality of service as well as the professional standards of the agency. Assist the staff in the orderly processing of all aspects of the administration of the program as may be required. The policy of confidentiality regarding client information must be strictly adhered to.
Reports to: Program Director
Location: 2502 Lorillard Place, Bronx NY, 10458
Hours: 18 Hours/Week; Non-Exempt
Major Duties:
Process all clerical material, including typing, maintaining files, and filing of all program and administrative correspondence and reports.
Purchase and take inventory of office supplies.
Submit daily attendance for all program participants and funders.
Manage program database.
Assist Program Supervisors in all programmatic duties.
Greet and announce participants and guests upon arrival.
Answer and direct all incoming calls to appropriate staff.
Process all interoffice and outgoing mail each night.
Assist in gathering data and compile statistical information for program reports.
Assist with any computer support needed.
Maintain inventory of supplies.
Oversee the collection and preparation of program information.
Monitor petty cash.
Initiate, collect and record all documentation required by the programs.
Assist in the registration of program participants.
Assist in the operational needs of the program where needed.
Perform other duties as assigned.
Qualifications:
High school diploma and minimum of 2 years secretarial experience required.
Must have knowledge of Microsoft Office Suite.
Excellent verbal and written communication skills required.
Must have ability to interact in a positive and courteous manner with all visitors and callers to the agency.
Must have a commitment to work from a strength based and/or youth development perspective.
