Purpose of the job:

  • To support the delivery of planned and reactive works across a portfolio of client's sites within the contractual SLA and KPI requirements, via CMMS system

  • To liaise with the various Stakeholders to build strong and effective working relationships

  • Monitor, maintain and update Statutory & Non-Statutory Maintenance compliance records and documentation

  • Oversee vendor compliance, work processes and attestation process

  • SupportAccountManageradministratively

  • Respond to client inquiries, requests and concerns in a timely, professional and friendly manner, and follows up to ensure customer satisfaction

Here’s a snapshot of your day:

  • TobuildastrongandeffectiveworkingrelationshipwithallcontractStakeholders

  • To carry out all administrative tasks associated with the management of the contract, ensuring auditable trails are maintained, which may include, but not limited to:

  • Ensure all planned, unplanned maintenance and quoted work are completed and closed within KPI targets and completed per agreed scope of works.

  • Ensure timely deliverance of all service reports from completed works, follow up with vendors for any missing reports or download from vendor portal where required.

  • Review all service reports to identify any noted defects, requesting quotes for remediation.

  • Ensure timely deliverance with receiving and processing of quotes while adhering to monthly budget requirements.

  • Review all quotes to ensure the client is getting the best possible value and asset sustainability

  • Process incoming invoices, and invoice matches purchase order line value.

  • Create annual and adhoc purchase orders as required.

  • Meet any annual HSE training and/or compliance requirements

  • Ensure all vendors have completed their CBRE induction prior to attending any client sites.

  • Follow up aged and overdue work orders ensuring they are closed as soon as possible.

  • Ensure all identified client and site risks are logged to the Risk Register.

  • Ensure vendors are attending high risk and planned work orders within KPI response target.

  • Update client with pending/outstanding works to ensure satisfaction.

  • Annual site condition and HSE inspections.

  • Participate in weekly client budget review meetings.

  • Participate in monthly and quarterly vendor meetings.

  • Participate in quarterly CBRE APAC meetings and monthly Global Account meetings

  • Handling of all client enquiries/complaints within a timely, effective and professional manner.

  • Refer to relevant procedure manuals for assistance where required.

  • Coordinate, assist, support and resolve any stakeholder issues in a timely, efficient and professional manner.

Requirements

  • Good PC based skills,intranet/internet,and intermediatelevel experience in Microsoft Word/Excel/Outlook/PowerPoint

  • 3+years experienceina similarrole

  • Previous experience of acustomer-facing/loggingsystems orCMMS Broadknowledgeingeneraltrademaintenanceandmanagementofbuilding works

  • StrongunderstandingofWHS/OHSrequirements

  • Financial/accountingexperiencewouldbeanadvantage

  • Exposuretoworkordermanagement/maintenanceschedulingandlegislative requirements

  • Communicationexperienceacrossvariousdivisionsandstakeholders(internal/external)

  • Experienceinconflictresolutionprocessesandissuemanagement
