Job Description

The Catering/Conference Services Coordinator will be responsible for acting as a liaison between the hotel and specific clients that are hosting meetings and events at the hotel. The individual will detail certain events and coordinate client needs and expectations to various departments involved. The Catering/Conference Services Coordinator will work closely with hotel operations to ensure client satisfaction is met. The Catering/Conference Services Coordinator is to communicate this information through respective hotel department heads via Banquets Event Order meetings and Resume meetings. Also will be responsible for all Administrative duties as required by the Catering/Conference Services and Sales Department.

Responsibilities

  • Servicing of catering/conference services groups (i.e. to include but not limited to -FAM trips, Bus Lunch Tours)

  • Establishes rapport with Catering/Conference Services clients and functions as liaison.

  • Distributes all BEO’s, Resumes and correspondence generated from Catering/Conference Services and Sales Department.

  • Maintains all in house meetings (schedules and generates all event orders and distributes to hotel)

  • Gathers and actualizes all Group F&B in FDC.

  • Answer incoming telephone calls for the main sales line.

  • Responds to telephone inquiries by determining client's needs and specifications for referral to Sales & Catering/Conference Services Managers.

  • Ensures that all filing systems are maintained.

  • Maintain inventory of office supplies.

  • Special projects as assigned by DOCC/DOS/DOSM.

Qualifications

  • Excellent computer skills: Outlook, Word, Excel, Access

  • Must be highly organized and detail oriented

  • Must have excellent oral and written communication skills.

  • Must be attentive to detail.

  • Must be available to work flexible hours to include nights, weekends, and holidays.
