Job Description:

JOB SUMMARY :

The Ormco Commercial Coordinator/Executive Assistant role directly supports the VP of North America Commercial, Ortho, in a fast-paced, strategic, and rewarding environment. The Commercial Coordinator will work both independently and collaboratively to coordinate executive meetings and travel, assist with administrative work, and manage office needs. This position is an excellent opportunity for a growth-oriented individual interested in jumpstarting a role within a large corporate organization.

PRIMARY DUTIES & RESPONSIBILITIES :

  • Provide administrative support.

  • Coordinate travel arrangements, sometimes for Board Members and external guests, including domestic and international travel and documentation for travel requirements.

  • Coordinate private charters and work with the internal team regarding scheduling and travel logistics.

  • Onsite support for executive dinner events, board meetings, and external guests.

  • Prepare and file expense reports and reimbursement checks.

  • Generate requisitions for purchase orders; submit and manage invoices for payment to vendors.

  • Manage appointment scheduling and calendar maintenance.

  • Communicate and coordinate early and clearly with all team members to plan schedules effectively.

  • Strategically anticipate potential schedule conflicts and proactively deal with them.

  • Coordinate meetings including setting up conference rooms, audio/visual requirements, arranging catering, picking up meals, and any other tasks as needed.

  • Coordinate off-site meetings (regionally and nationally), including group hotel accommodations, hotel meeting rooms, meals, audio/visual requirements, etc. This may require occasional travel.

  • Assist with copying, drafting correspondence, sending FedEx packages, etc.

  • Other administrative duties and special projects may be assigned as necessary.

Job Requirements:

  • Bachelor’s degree preferred.

  • 2-4 years of experience in an office environment performing administrative tasks.

  • Proficiency in Microsoft Office programs, including Outlook, Word, Excel, and PowerPoint.

  • Successful candidate will be intellectually curious with a growth-oriented mindset and professional presence.

  • Proven team player within and outside of the supported department.

  • Self-starter and capable of prioritizing their own work.

  • Requires a mature individual who can maintain confidentiality and not fall subject to unprofessional workplace behavior.

  • Display and operate in a way that never compromises ethics and integrity; will be handling highly confidential information.

  • The ability to function professionally under pressure while managing multiple concurrent projects and deadlines.

  • Must be comfortable working in a high-energy, quick-changing, and demanding environment.

  • Must be able to become proficient in the use of video conferencing and other media technology.

  • Strong interpersonal (listening, communication, writing) skills.

  • Excellent administrative, word processing, and file management skills.

  • Detail-oriented and proactive.

  • Have a high sense of urgency. Occasional after-hours and/or early morning work is necessary.

  • Self-motivated, proactive, and able to work on projects alone or in a group setting.

  • Continuous improvement mindset.

Target Market Salary Range:

Actual compensation packages take into account a wide range of factors that are unique to each candidate, including but not limited to geographic location; skill sets; relevant education and certifications; depth of experience; performance; and other business and organizational needs. The disclosed reasonable estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Envista, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. The total compensation package for this position may also include an annual performance bonus, medical/dental/vision benefits, 401K match, and/or other applicable compensation plans.

$32.90 - $49.30 per hour
