Job Summary

The University of Colorado Boulder encourages applications for a Service Contract Administrator! This position is responsible for providing a variety of support to the Service Contracts team within OCG in carrying out detailed administrative work to ensure OCG compliance with University and Sponsor requirements. This position requires discretionary and professional judgment on sensitive projects, including projects with industry partners involving the exchange of proprietary data and information, campus processes, contract management, and customer service. This position supports the Service Contracts Team by:

  • Managing the Service Contract Team email inbox;

  • Logging and processing Service Contract actions into infoEd;

  • Responding to, preparing, and tracking requests and transactions;

  • Coordinating completion of items with University and Sponsor partners;

  • Developing and editing business process documentation; and

  • Supporting award management.

The mission of the Office of Contracts and Grants ("OCG") is to, throughout the lifecycle of an award, partner with the University of Colorado Boulder ("University") faculty including Principal Investigators ("PIs"), staff including Department Research Administrators ("DRAs"), and students to obtain and manage external support for sponsored activities through our specialized regulatory and organizational expertise. What Your Key Responsibilities Will Be

  • Understand OCGs business processes, from proposal development through submission, award, contract negotiation, execution, management, and closeout.

  • Form and maintain strong working relationships with peers, supervisor, other OCG teams, and other University partners including PIs, DRAs, Budget and Fiscal Planning, Export Control Office, Information Technology Security Office, Project Management Office, Research Financial Services, Technology Transfer Office, and University Legal Counsel, as well as Sponsors, to support general contract administration.

  • Develop and maintain proficiency with applicable electronic systems and related processes and requirements.

  • Continuously build and maintain a knowledge base of OCG business processes by attending training sessions, conferring with supervisor and peers, and reviewing written guidance documents.

  • Understand and ensure implementation of the eligibility requirements as related to Sponsored and Rate Based Service Agreements.

  • Serve as the main point of contact for the Service Contracts Team inbox, including responding to and triaging emails where appropriate, as well as logging of awards received.

  • Provide general contract administration support to University and Sponsor partners including but not limited to receipt and processing of service requests and activity setups, budget verifications, campus requirements, and award compliance.

  • Following OCG processes, uniformly enter data for all funded and non-funded contract actions into infoEd, the Universitys electronic research administration system, and other transaction tracking systems.

  • Develop Rate-Based Service Quotations for departments and support quote auditing.

  • Contribute experiences and knowledge at team meetings by developing and presenting on agenda items and engaging with fellow peers to increase team and personal knowledge base.

  • Develop and edit process documentation and provide support to fellow team members in meeting this objective.

  • The salary for this position is $52,200 annually.
