Summary Statement

Arranges, manages and coordinates all aspects of Public Works department business travel. Coordinates employee transportation, lodging, car rental and develops itineraries. Adheres to policies and procedures for the city's employee travel program. Serves as a subject matter expert and liaison for the department, travel agencies and third-party travel software provider. Works under general supervision.

The Public Works Travel Coordinator position is a temporary part-time, up to 19-hour per week position. This position is not benefit-funded.

Essential Functions

Coordinates all travel needs for the Public Works department. Schedules hotels, flights, and car rentals and prepares itineraries. Assists with processing and other travel-related documentation. Works with outside travel agencies. Serves as a subject matter expert and point of contact for all travel-related issues or concerns. Communicates travel status with internal customers. Researches, negotiates, and secures rates with airlines, car rental companies, and hotels. Seeks and maintains knowledge as to the best seasonal pricing and availability. (50%)

Administers, monitors and reimburses city employees for the cost of hotel rooms, taxi rides, meals and or other travel expenses. Prepares, processes and monitors employee travel advances and reimbursements. Validates employee advance and reimbursements requests to ensure adherence to city policies and procedures. Tracks travel advances and reimbursements submissions and payments to facilitate timely processing and provides a monthly report. (30%)

Processes p-card transactions and coordinates with department staff to ensure the correct expenditure lines are charged and purchases adhere to all applicable City of Boise policies. Communicates with p-card holders to help them understand and provide accurate and appropriate documentation in a timely manner. Participates in audit reviews, special projects, or training efforts as required. (20%)

Requirements

Required Knowledge, Experience, And Training

Two years of experience in the hospitality and travel field, and a high school degree or GED equivalent or an equivalent combination of education and/or experience.

Level of Knowledge; Advanced knowledge of coordinating travel arrangements, working in the travel industry and a firm grasp of digital data and file management systems.

Abilities; Ability to use accounting and spreadsheet software; prepare reports; establish priorities and organize workload; research and analyze data; communicate effectively verbally and in writing; establish methods, procedures, and internal controls to maintain travel and purchasing card systems; prioritize work, complete tasks under time constraints and strict deadlines in a fast-paced environment; maintain accurate and detailed travel records; accurately prepare travel and p-card reports; reconcile complex, high volume accounts; work independently or with minimal supervision; exercise good judgment; interpret and follow city code, policies, regulations, and procedures; recommend solutions and correct problems; display an attitude of cooperation and work harmoniously with all levels of City of Boise employees and the public; communicate effectively in the English language at a level necessary for efficient job performance; maintain confidentiality with sensitive documents or information; complete assignments in a timely fashion; understand and comply with all rules, policies, and regulations; maintain prompt and regular attendance; perform all essential and marginal functions as assigned by an authorized employee, supervisor and/or manager with or without a reasonable accommodation.

Preferred Knowledge, Experience, And Training

Associate's degree in business or related field and six years of experience as a travel coordinator, or an equivalent combination of education and/or experience.

Experience with travel software (such as Concur) and/or online reservation system.

Special Requirements

Applicants must be able to pass:

City of Boise background check processes which includes a criminal history check and reference checks in accordance with the City of Boise Hiring Process Regulation
