POSITION GENERAL SUMMARY:

Performs clerical and support functions related to the court system. Work is performed under well established guidelines set forth by Idaho Code and requires a high degree of accuracy and attention to detail. A Criminal Support Deputy Court Clerk will be trained in court case management computer systems and customer service phone support. Criminal Support Clerks are responsible for processing confidential documents and new and consecutive filings, scheduling hearings, implementing court policies and procedures, and phone support assisting parties and the legal community with questions and concerns.

DISTINGUISHING FEATURES OF THE CLASS

A Deputy Court Clerk in Criminal Support generally performs key clerical functions that are recurring in nature and can be narrow in scope. At times, however, a support clerk will be tasked with more complex clerical tasks which will require the clerk to have a broad knowledge of the court system in order to perform the functions of the job.

Essential Functions

  • Processes workflows related to the criminal court process;

  • Maintains the flow of documents received from electronic filing through the appropriate clerks, up to the judges and back to their final destination;

  • Researches records and understands the function of various legal documents;

  • Creates legal forms, form letters, reports, and similar materials;

  • Sorts, stamps, records, and files a wide variety of legal and judicial materials;

  • Maintains files and other records;

  • Processes all types of cases and documents presented to court;

  • Reads and routes incoming mail and assembles files and other materials to facilitate reply;

  • Explains policies and procedures pursuant to requests of the public attorneys and other officials and departments;

  • Updates databases;

  • Reviews documents presented for compliance to standards;

  • Responds to correspondence;

  • Handles database management for specific areas of law;

  • Sets hearing dates and maintains calendar;

  • Processes incoming Hearing Notices;

  • Helps establish, refine, and articulate court procedures;

  • Works with external agencies including: Prosecutors, Public Defenders, Private Attorneys, Sheriff’s Offices, Probation, and Idaho Department of Transportation to resolve issues;

  • Participates in training;

  • Assists in troubleshooting issues that arise;

  • Performs highly specialized tasks related to sensitive court processes;

  • Answers phone questions from the public and other agencies;

  • Operates office equipment.

ADDITIONAL FUNCTIONS

  • Collects filing fees and fines;

  • Cross trains in other areas to perform the work of others for vacations, illness, etc.;

  • Performs related functions as required.

Job Requirements

  • Must have a high school diploma or equivalent;

  • Knowledge of legal procedures documents and terminology;

  • Skill in the operation of computers;

  • Ability to understand and follow verbal and written directions;

  • Ability to communicate verbally and in writing;

  • Ability to maintain confidentiality;

  • Ability to maintain harmonious working relationships with other employees and the public; Ability to handle money accurately and make proper change.

Work Environment & Physical Demands

  • May be required to lift or move up to 25 pounds;

  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;

  • Requires sufficient personal mobility and physical reflexes, to permit the employee to function in a general office environment and accomplish tasks.
