This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of customers and staff. May work on assignments related to project development and management initiatives, internal operating procedures, business processes and policies.

Department Overview:

SAEM Shared Business Services provides financial and operational support to the Student Involvement and Leadership Center, Associated Students of Boise State University (ASBSU), Student Media, Career Services, New Student Programs, and the Office of the Dean of Students. The successful candidate for this role will be as comfortable performing financial processing tasks accurately and efficiently as they will be navigating policy questions, collaborating with a variety of partners, including students, on-campus partners, and external constituents.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

Essential Functions:

Financial Processing

  • Utilizes a variety of information systems including CampusGroups (a student engagement platform) and Oracle Financials to support end to end financial processes from pre-approval to payment and expense reconciliation for student and department programs and activities.
  • Reviews documents and event and purchasing requests to determine appropriate actions, ensures compliance with university policies and procedures; researches, analyzes, and resolves complex processing issues; works with students, staff or other involved parties to explain changes and take appropriate corrective actions.
  • Meets with program coordinators and department leadership to obtain or verify information; approve changes and modifications to program plans and student organization expenditures.
  • Interprets, applies, and provides information on policies, rules, requirements, and procedures; composes communications to advise on next steps in the business process; provides training and guidance to staff; collaborates with others including Procurement and Vendor Services, Treasury and other university departments as needed.
  • Provides leadership in technical and financial on-boarding of new staff and students.

Constituent Services

  • Delivers high-quality, timely service to staff and students with professionalism and patience; attends student organization and department meetings to support activities and serves as a technical and policy consultant.
  • Provides training and decision support to other divisional personnel (with focus on administrative support staff, coordinators and student employees).
  • Works directly with external customers. Relies on delegated authority, knowledge, and judgment to answer more complicated requests where there are no clear procedural responses. Researches and analyzes information to make decisions and resolve complicated issues.
  • Successfully develops and maintains positive, collaborative, respect-based relationships with co-workers, customers, and stakeholders within and outside of Boise State.
  • Participates in departmental, divisional, and university events, initiatives, and workgroups.

Student Engagement Platform Maintenance and Improvem nt

  • Develops and maintains expertise in Campus Groups (or future campus engagement platforms) and related student-centered systems and processes;
  • Becomes acknowledged \"subject matter expert\" for Shared Business Services and available to ecosystem partners and students;
  • Participates as needed in the development of training content and delivery for student organizations.
  • Seeks proactive education and training to remain current on system updates and new and existing university policies and procedures.

Minimum

Qualifications:

Bachelor\'s degree or equivalent experience

Preferred Qualifications:

At least one year in a role providing financial processing, purchasing, or administrative support to a varied group of stakeholders\<
