Summary:
The Idaho State Department of Agriculture is currently recruiting a Technical Records Specialist 2 for the Agricultural Inspections Division in the Boise office.

EXAMPLE OF DUTIES:
Duties split between Shipping Point Inspections (85%) and the Warehouse Control Program (15%);
Organic backup as needed Coordinate program activities within programs, this may include scheduling meeting rooms, hotels, flights, and refreshments
Monitor and assist in maintaining best practice standards and activities for compliance with state and federal requirements
Answer calls and customer support for the Division lines using appropriate and professional phone etiquette
Assist Warehouse Control with licensed warehouse, commodity dealers, and seed buyers according to governing laws and rules
Oversee indemnity fund collections for the Seed and Warehouse funds Provide support to all Warehouse inspectors as needed
Provide support to all FF&V district offices and staff as needed
Provide support to all Organic staff as needed Respond to requests for public records
Match invoices to checks (understand system behind it) for FF&V and Warehouse. Match invoices to checks for Organics as those duties are added
Compile PCA information on WEX for FF&V Warehouse and Organics if needed
Compile Monthly Mileage and Quarterly Mileage Reports, these track driver, fuel usage, maintenance, and repairs, for all FF&V and Warehouse assigned vehicles; Organic vehicle reports will be included as needed
Register all newly acquired vehicles for FF&V and Warehouse; Organics vehicles will be included as needed
Assist with the disposal process for surplus property following the established procedure
Assist with annual reports File daily as necessary for all support programs
Daily review P-cards, travel vouchers and invoices for accuracy and no duplication of charge/request, assign proper PCAs, obtain signatures, make copies of vouchers, invoice and Payment Services report for files, submit originals to Fiscal
Receive and enter all checks and receipts for Ag Inspections appropriately and accurately into their respective programs and ensure all other data is entered correctly
Keep files of all state tagged inventory
Compile inventory documents from all of Ag Inspections to turn in to Fiscal each year
Perform website updates for FF&V and Warehouse; Organic duties will be added;
Attend website development training and meetings when requested, and maintain Ag. Inspections website
Support Bureau Chief with field office lease agreements and renewals;
Division-wide mail
Process invoices in the USDA CRM for COOL reviews conducted in the State
Other duties as assigned by the Bureau Chiefs and/or Administrator
MINIMUM QUALIFICATIONS: These qualifications are mandatory requirements.
Monitoring record systems to identify and correct errors
Interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs
Analyzing information and researching a variety of sources to identify and resolve problems or issues
Dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations
Entering and retrieving data using a computerized record system
Composing and proofreading business correspondence
Specialty Qualifications: These qualifications are mandatory requirements.
Microsoft Word - ability to operate word processing software (such as Microsoft Word) and equipment at the rate of 40 wpm or more and produce merged documents, specialized tables, reports (columns), correspondence, forms (creating and using templates), and graphics
Experience Using Spreadsheet Software - at least one year of experience using spreadsheet software to create and modify electronic worksheets and design and print graphs
