Position Summary:

Florida Atlantic University is seeking an Office Assistant for Jewish Studies - Boca Raton, FL.

The Jewish Studies Program and the Study for the Center of Values and Violence after Auschwitz are seeking a highly organized and detail-oriented part-time Office Assistant. This position will support the administrative functions of the program by handling day-to-day office tasks, coordinating events, and assisting the Herbert and Elaine Gimelstob Eminent Chair (and Director of Jewish Studies) and the Raddock Family Eminent Scholar Chair.

Summary of Responsibilities:

  • In-person office receptionist duties, including answering the phone, responding to email and phone queries, greeting visitors, maintaining office supply inventory, making copies, scanning documents, and organizing digital and physical files.

  • Submitting space allocation/scheduling requests, working with faculty to submit special-event permissions requests, contacting Facilities Management with special requests, preparing new door nameplates with office hours for each academic term, and maintaining the program website and program and center mailing lists.

  • Maintain budget records, encumbrances, expenditures, grant and Foundation accounts.

  • Manage Program and Center document and data collection, and record-keeping (primarily in electronic format, but sometimes in physical format as well).

  • Requires use of numerous online databases and portals, including Crystal Reports, Banner, LeapAhead, Course Leaf scheduling software, Canvas, and Workday. Includes the processing, organization, and maintenance of confidential student records (electronic and physical).

  • Coordinate travel arrangements and events for guests such as lecturers, performers, and conference attendees. These duties include arranging venues, dining, catering, ground transportation, advertising, support staff, other event-related needs, and managing the event budget funds.

  • Design flyers, mailing, brochures, and other promotional materials in conjunction with the College marketing office. Create newsletter for the Program and for the Center.

  • Provide support to Directors on an as-needed basis for special-events planning and community outreach initiatives. Research grant opportunities.

  • Student support duties, including, following up on student inquiries in all formats (email, phone, and in-person).

  • Serve as a communication link between the department, students, academic advisors, and the Office of the Registrar.

  • Maintain and update student academic petitions as needed. Handle all student queries regarding the foreign language requirement.

  • Communicate with faculty regarding permissions override requests.

  • Other job-related duties as assigned.

Minimum Qualifications:

High school diploma or equivalent and four years of appropriate experience required.

Preferred Qualifications/Skills:

Associate degree or higher preferred.

Administrative experience in an academic or nonprofit setting.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.

Experience with graphic design software such as Adobe Creative Suite, Canva, or similar tools is highly desirable.

Strong organizational skills and attention to detail.

Excellent written and verbal communication skills.

Ability to manage multiple tasks and prioritize effectively in a busy environment.

A commitment to maintaining confidentiality and professionalism.

Familiarity with Jewish culture, history, or academic programs is a plus.

Salary:

$14.00 - $16.00 per hour.
