Our team is comprised of industry experts who are committed to delivering top-notch service and building long-lasting relationships with our clients. We are looking for a highly motivated and detail-oriented Administrative Assistant to join their team and contribute to their continued success.

Position Summary:

As an Administrative Assistant, you will play a pivotal role in supporting our financial services team in providing comprehensive investment solutions and superior customer service. Your adaptability, attention to detail, and preference for a 440 license (or willingness to obtain it) will be essential in helping us maintain our high standard of service.

Qualifications:

  • Previous experience in a similar role, ideally in the financial services or investment industry.

  • A preference for a 440 license or a strong willingness to obtain one (if not already held).

  • Outstanding customer service skills with a genuine desire to help and support clients.

  • Excellent attention to detail and organization skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

Responsibilities

Key Responsibilities:

  • Client Interaction: Interact with clients in a professional and courteous manner, addressing inquiries and providing general information as needed. Ensuring a positive client experience is a top priority.

  • Administrative Support: Assist with various administrative tasks, such as document management, scheduling appointments, and maintaining client records. Handle incoming and outgoing communications efficiently.

  • Financial Document Preparation: Prepare and review financial documents, reports, and presentations. Ensure accuracy and compliance with company standards.

  • Data Entry: Maintain accurate and up-to-date data records, making sure all client information is entered correctly into our systems.

  • Compliance Assistance: Assist with compliance requirements, including document retrieval and verification, to ensure the firm operates within regulatory guidelines.

  • Project Support: Collaborate with the team on special projects, including research and analysis to support investment strategies and decisions.

  • Team Collaboration: Work closely with financial advisors and other team members to facilitate seamless operations and teamwork within the company.
