Bookkeeper (Accounts Payable Focus)

Responsibilities:

  • Accounts Payable Processing: Manage the full cycle of accounts payable process including reviewing, coding, and processing invoices accurately and efficiently.

  • Vendor Management: Maintain vendor records, including contact information, payment terms, and tax documentation. Communicate with vendors regarding invoice discrepancies, payment inquiries, and other related matters.

  • Purchase Order Management: Match purchase orders with invoices and receiving documents to ensure accuracy of charges and quantities. Resolve discrepancies and issues with purchase orders as needed.

  • Expense Allocation: Allocate expenses to appropriate accounts and cost centers, ensuring accurate financial reporting and analysis.

  • Payment Processing: Prepare and process payments via checks, electronic transfers, and other methods. Review payment batches for accuracy and compliance with payment terms.

  • Cash Flow Management: Monitor cash flow and payment schedules to optimize cash management and ensure timely payments while maximizing discounts and minimizing late fees.

  • Account Reconciliation: Reconcile accounts payable sub-ledger to the general ledger on a regular basis. Investigate and resolve discrepancies promptly.

  • Financial Reporting: Assist in the preparation of accounts payable reports and analyses for management review, including aging reports, cash flow projections, and vendor performance metrics.

  • Compliance: Ensure compliance with accounting policies, procedures, and regulatory requirements related to accounts payable functions.

  • System Management: Utilize accounting software (e.g., QuickBooks, Xero) for accounts payable functions, data entry, and reporting. Maintain accurate and up-to-date records in the accounting system.

    Requirements

Requirements:

  • Bachelor's degree in Accounting, Finance, or related field preferred.

  • Minimum of 10 years of experience in bookkeeping, with a strong focus on accounts payable.

  • Proficiency in accounting software, particularly QuickBooks.

  • Solid understanding of accounting principles and practices.

  • Detail-oriented with excellent organizational and time management skills.

  • Strong analytical and problem-solving abilities.

  • Effective communication and interpersonal skills.

  • Ability to work independently and collaboratively in a fast-paced environment.
