SUMMARY OF JOB RESPONSIBILITIES:

The Centralized Staffing Scheduler work with the ASA (Advanced Schedule Administrator) within the Central Staffing Office to ensure the appropriate application of Kronos; provides ongoing training to Kronos users of current system and software enhancements; maintains scheduling data to ensure accurate generation of schedules; acts as resource for all Kronos users as needed; responsible for input and output of Kronos daily functions to support staffing, scheduling, timekeeping and employee status changes; assists in daily projecting and shift to shift staffing with safe, efficient cost-effective use of resources; identifies and relates problems regarding Kronos, staffing, scheduling and timekeeping to the Nurse Manager Centralized Staffing; meets job expectations with minimal supervision; expands knowledge base of Kronos as needed; responds well to change; provides leadership in promotion of accuracy and efficiency in the Absence Management Program.

QUALIFICATIONS:

EDUCATION :

· High School Diploma/GED.

· Typing proficiency as designated.

EXPERIENCE:

· Computer literacy.

KNOWLEDGE AND SKILLS:

Knowledge of OUTLOOK, Kronos, previous staffing/scheduling experience.

Follows general instructions.

Understands several defined work routines.

Reads various references, extracts information, and applies basic arithmetic functions.

May operate basic equipment/machinery.

Makes decisions by reviewing defined alternatives.

Receives assistance from standard procedures, coworkers, and/or supervisors.

PRINCIPAL JOB ACCOUNTABILITIES:

STAFFING:

  1. Accurate Kronos data entry related to staffing, including census and re-assignment of staff.

  2. Reviews staffing sheets in advance and identifies significant variances to appropriate person.

  3. Assists in resolving staffing variances according to protocol.

  4. Ability to reallocate staff on a shift to shift basis to meet census/HPPD requirements.

  5. Accurate interpretation and entry of time changes.

SCHEDULING:

  1. Maintenance and development of staffing patterns for employees to meet core coverage and budget requirements that are safe and cost effective.

  2. Identifies variances in schedules due to LOA/terminations, etc. and provides temporary replacements as needed and as available.

  3. Identifies non-compliance to staffing/scheduling policies and procedures; takes appropriate action to correct non-compliance and informs proper authority.

  4. Generates and adjusts unit schedules according to employee parameters to meet core average utilizing Kronos.

  5. Works with nurse manager to finalize schedule.

  6. Scheduled Vacation/PTO requests for Centralized Staffing groups including SVH Floats, Stat Staffing RNs, Centralized Staffing employees, Patient Safety Companions.

CONTROLLER:

  1. Maintains accurate budget position control.

  2. Performs audits on controller data to ensure accurate input of information and follow through in correction.

  3. Terminates and transfers employees appropriately in Concerro and follow through with staffing and scheduling data changes.

PAYROLL:

  1. Accurate data entry of all paid time including appropriate identification of overtime and holiday time.

  2. Reviews and corrects weekly attendance sheets to ensure accurate payroll.

  3. Reviews and corrects Kronos edits to ensure accurate payroll.

  4. Appropriately identifies and corrects payroll errors for employees.

  5. Acts as a resource to Central Staffing Assistants with Kronos issues.

UTILITIES:

  1. Accurate input of budgeted data.

  2. Accurate input of HPPD data.

  3. Accurate input of Matrix data.

  4. Accurate application of Password Protection.

  5. Updates/maintains qualifications codes.

Job Accountabilities: Other

  1. Acts as resource to Kronos users in all aspects of software application.

  2. Self motivated to increase knowledge base of Kronos and staffing and scheduling.

  3. Attends seminars/workshops as assigned.

  4. Provides leadership to Centralized Staffing Assistants to maintain an efficient process and structure for staffing and scheduling.

  5. Promotes the philosophy of Mercy Health.

  6. Performs duties in accordance with department and hospital policies/procedures.

  7. Actively participates in projects as needed.

  8. Demonstrates willingness to increase knowledge base.

  9. Maintains confidentiality of hospital, department and employees.

  10. Demonstrates well developed interpersonal skills with all personnel.

  11. Maintains acceptable standard in attendance.

  12. Accurate entry of absence concurrences through the off work site as identified in the Absence Management Program.

  13. Provides leadership to Centralized Staffing Assistants to maintain an efficient and accurate Absence Management System.
