SUMMARY

The Village Homes Operations Supervisor will assist the Property Managers with all daily property operations and tasks related to the Residential and Village Homes department. Oversight includes supporting maintenance and housekeeping departments, assist with property management duties, managing and coordinating outside vendor relationships, and guest and owner communication. In addition to the day to day duties, the Village Home Operations Supervisor will focus on continually improving the guest and owner experience, ensuring residences are well kept and maintained, assist with daily operational tasks that are assigned from the Property Managers. This position reports directly to the Property Manager.

ESSENTIAL FUNCTIONS

Essential functions of this role include; although are not limited to:

  • Inspect homes on a regular basis to ensure quality cleaning and maintenance standards are met to include: tracking preventative maintenance schedules, handle emergency services, coordinate housekeeping and maintenance services, and ensure the homes are in excellent condition.

  • Assist Residential department with daily tasks such as: coordinating vendor appointments, conducting site visits, maintain organized and updated residential files, addressing and resolving owner and guest concerns, process billing and invoicing, and supporting maintenance and housekeeping departments.

  • A ssist with creating owner reservations and ensuring Synexis is updated.

  • Facilitate new home installations including: install linen, coordinate cleaning, assist photoshoot, collect maintenance data, complete questionnaires, review punch lists, and assist vendor appointments and installs.

  • Organize and coordinate preventative cleaning and maintenance schedules in coordination with other departments and reservation schedules.

  • Continually train in new property management techniques to maximize guest, owner, and vendor satisfaction.

  • Support all policies and procedures, and implement and train teams accordingly.

  • Ensure best in class experiences for all guests and members.

  • Implement luxury and unique touch points that is highly personable.

QUALIFICATIONS

  • Ability to establish and maintain good working relationships with co-workers, support departments, property owners, and guests.

  • Professional and personable demeanor.

  • Enjoys a variety of tasks and being highly mobile.

  • Excellent written/verbal communication, and organizational skills.

  • Strong guest services and front facing training background.

  • Past experience managing a variety of outside vendors such as contractors and interior designers preferred.

  • Computer skills using Microsoft Office (Word, Excel, PowerPoint, Publisher) and Outlook, advanced preferred.

  • Preferred experience using PMS .

  • Property Management License/Certification preferred.

PHYSICAL DEMANDS

  • Valid driver’s license or reliable method of transportation to/from work

  • Ability to work late hours, weekends, and holidays as required to support operation demands

  • Hearing and speaking to exchange information

  • Seeing to read a variety of materials

  • Sitting or standing for extended periods of time

  • Ability to carry up to 25 lbs. (computer, reams of paper, files, etc.)

  • Must be able to exert well-paced ability to inspect different homes within the community in a timely manner.

  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.

  • Talking and listening occur continuously in the process of communicating with guests, supervisors and subordinates.

  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.

  • Requires manual dexterity to use and operate all necessary equipment.

  • Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, photocopiers, dolly and other office equipment as needed.
