Event Logistics Coordinator

SUMMARYThe Event Logistics Coordinator will work closely with our Catering & Conference Services and Safety & Security teams with on property events. This position will coordinate and communicate with event vendors from the setup of an event and until the breakdown of the event. This role will contribute to the organization as an active business partner that is responsible for supporting the company's goals, objectives, vision, mission, and values.

Essential Functions:

Responsibilities of this position include; although are not limited to:

  • Establish a working relationship with Meeting Planners, Wedding Planners, Vendors, South Street Management, Palmetto Bluff Security and Property Owners

  • Maintain detailed schedules of all events on a weekly and monthly basis to ensure proper coverage

  • Maintain current record of all contractual agreements, inclusive of COI; all vendors must maintain minimum coverages and to name additional insureds as required by Montage International

  • Attend pre-cons and weekly meetings as required

  • Create and maintain a contact list of venders and event companies

  • Establish close working relationships with all on-site assigned vendors, supervisors and managers

  • Provide event companies with Montage vendor guidelines and required protective material specifications 2 weeks prior to set up date

  • Supervise loads-ins and loads-outs to monitor compliance with guidelines

  • Manage staging areas and parking locations within the work site.

  • Photograph and document pre-load in and load-out sites to identify any new damages that may have taken place. Follow up with work orders in ALICE

  • Provide on-site orientation for set up vendors regarding authorized hours of operation, identify break areas, rest rooms and review work etiquette

  • Knowledge of architectural terms and basic understanding of historical preservation practices

  • Driving and operating golf carts, box truck and forklifts

    Qualifications:

  • High School Diploma or equivalent

  • Minimum of two years of experience in customer service

  • Experience in security, facilities, maintenance or related field

  • Experience with catering and events

  • Experience with productions/AV is preferred

  • Must be able to work weekdays, weekends, Holidays and remain flexible to changes

  • Valid US Driver’s license

  • Ability to communicate clearly and speak, read, write and understand English

  • Basic knowledge of utilities to include water, electrical, gas blueprints and maintain the power box

    Physical Requirements:

Most tasks are preformed outdoors in variable weather conditions, including hot, cold windy and wet weather. Position requires walking, must be able to stand and exert well-paced mobility for up to 7 hours in length. Must be able to bend, stoop, squat and stretch to fulfill task .Must be able to lift and or/ move up to 50 pounds on a regular or continuing basis. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Requires manual dexterity to use and operate all necessary equipment.
