The Office Services Manager for the Blaine campus of the Estee Lauder Companies Inc. (ELC) and the AVEDA Corporate Headquarters plays a key role in shaping a healthy, creative, sustainable, and innovative workplace. The Blaine campus includes office space, R&D facilities, and Manufacturing. The key areas of responsibility for this role include general office support, mailroom, and food service to ensure operational efficiency and best in class experience. This position will collaborate across departments and ELC sites, build key partnerships, and contribute to initiatives that enhance our workplace culture.

Office Services and Mailroom Services:

Maintain and manage assignments of office workspace, storage, equipment, and inventory.

Collaborate with site and department leaders on space planning exercises to develop solutions.

Manage approved moves and coordinate with all appropriate external suppliers and internal SMEs.

Work closely with the IT team to ensure smooth technology operations throughout the campus.

Manage site Xerox and Canon printer fleet, including repairs, technology upgrades and device right-sizing. Maintain accurate inventory with corresponding budget codes, locations, serial numbers, IP and MAC addresses.

Build relationships with local and national preferred suppliers.

Onsite contact to assist with any capital improvement projects and furniture procurement.

Facilitate Certificate of Insurance requests as requested.

Maintain vender records in ISN subscription service (EHS) and update as required.

Experience with vendor management process (RFPs, workflow, PO's, invoices). Audit and update supplier list including relevant SAP coding to ensure data integrity.

Oversee scheduled shredding service and special shredding in addition to destruction and office organization

Provide management direction for Mailroom Services. Work with mailroom manager on budget and reporting, special brand/creative projects, duplicating, resources, and support for external printing services.

Facilitate setup of all new business card and special stationary account requests.

Field Office Supply program and special order/furniture requests.

Monitor the Office Services (Aveda) mailbox for service requests.

Food Services:

Primary contact between ELC and food service supplier for all communication, changes, and/or events

Provide guidance on the site’s requirement for healthy and organic menu/snack/beverage offerings in the Organica cafe and micro markets.

Coordinate food services to support meeting and events

Promote reusable dishes/flatware and the proper sort of waste, recycling, and commercial compost.

Develop and maintain equipment service schedule. Identify repairs and replacements as required to minimize waste and operational disruption.

Source cost and energy efficient replacement equipment, as needed.

Collaborate with HR to forecast onsite attendance to better manage food resources and services.

Review monthly P&L and the annual business review.

Partner with food service supplier on all financial documentation for capital, subsidy, and expenses outside established budget.

Blaine Campus Culture:

Actively support and participate in sustainability, environmental responsibility initiatives.

Each employee actively participates in the Behavior Based Safety (BBS) program and will follow all safety practices and procedures to care for self and others.

Promote ergonomic solutions as specified by the Early Intervention Specialists.

With the site teams, help plan and execute events such as Employee Appreciation, Employee Resource Group (ERG) initiatives and October Breast Cancer Awareness activities.

Represent the Office Services team as an Estee Lauder Global Sustainability Champion and Blaine Green Team member.

Leadership:

Foster a collaborative and inclusive team culture through leadership, training, and professional development.

Maintain open communication with all relevant departments and team members to support an inclusive, productive, and engaged work environment.

Conduct performance reviews and manage the activities of the office services team and contractors.

Ensure that departmental procedures align with company policies and goals.

The anticipated base salary range for this position is $76,500 - $125,650. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with possibility for overachievement based on performance and company results.

Qualifications

7 years of experience with managerial responsibilities, preferably in office management and/or facilities.

Collaborative mindset to approach daily challenges with a solution-oriented attitude and fresh ideas.

Highly motivated, able to maintain energy and focus through varying workloads, and capable of working independently.

Excellent interpersonal skills, with the ability to build relationships at all levels within the organization.

Team leader invested in the development of others

Strong financial acumen, with experience managing budgets and forecasting

Proven ability to partner with facilities, operations, security, and maintenance.

Basic knowledge of sustainability concepts for buildings

Food Service Management experience preferred with knowledge of organic and healthy ingredients.

This role is primarily in-office position with a requirement of at least 4 days per week. Events, projects or staffing coverage may require 5 days onsite.
