Administrative Assistant

Under general supervision and on own initiative, performs standard and advanced secretarial duties. May work for one or more individuals in support of a department, project, or contract. Assists manager with administrative responsibilities. Position requires superior administrative and organizational skills, a thorough knowledge of practices and procedures of the function, company policy and procedures. Supports a multiple departments or multiple managers.

Your Challenge

  • Timely and accurate data entry of customer purchase order (i.e. contract) and project budget data into CW-EPD computer systems

  • Document control and distribution of internal bid and proposal (B&P) and contract documents for use by project management, finance, sourcing, quality, operations, Defense Contract Management Agency (DCMA) and other customer and EPD financial auditors in accordance with established procedures

  • Coordination and distribution of contracts for electronic review. Follow-up with reviewers to maintain deadlines.

  • Scanning and maintenance of electronic and physical B&P and contract documents and files

  • Quality control of document reviews and checklists to ensure completeness

  • Preparation of recurring and ad hoc reports in Microsoft Excel from data exported out of Oracle ERP program

  • Entry of data into Microsoft PowerPoint slides and graphics file to support Contracts presentations as needed

  • Data entry and vendor inquiries to support proposal development, internal reporting and audit needs

What you Bring

  • High School Diploma or equivalent with 0 – 2 years’ experience.

  • Excellent organization skills

  • Proficient with Word, Excel and PowerPoint software applications

  • Oracle or similar ERP System is a plus

  • Error free data entry in support of highly detailed, complex contracts

  • Intermediate skill level using spreadsheet applications such as Microsoft Excel

  • Demonstrated ability to manage multiple tasks and to manage deadlines

  • Demonstrated meticulous attention to detail

  • Excellent internal customer service capabilities

  • Excellent communication skills (written and verbal)

  • Work well in a team environment

  • Work well with general supervision

  • Must be a U.S. Citizen
