St. Luke's University Health Network Administrative Assistant, Construction Management in Bethlehem, Pennsylvania

The Administrative Assistant for Planning & Construction Management will be responsible for providing administrative support to the Vice President and the Director of Planning & Construction Management and the Planning & Construction Management (PCM) Department by preparing correspondence, scheduling meetings, record keeping, maintaining files, assisting with special projects and events, receiving visitors to the department in a professional, confident and competent manner. This position will be required to coordinate and schedule local and state inspections along with the tracking of associated documents.

JOB DUTIES AND RESPONSIBILITIES:

  • Arranges SLUHN internal meetings, maintains the Vice President’s calendar and files, collects and prepares information for use in PCM Department meetings, etc. and types correspondence, reports and related material for Vice President

  • Answer phones and processes mail and distributes to appropriate parties. Prepares responses to routine inquiries as requested

  • Provides support to PCM Director & Project Managers as required.

  • Maintains department files and records for all department contracts, purchase requisitions, etc.

  • Assists the Construction Coordinator as needed

  • Tax Exempt/Entity Info facilitator

  • CAD file coordinator (Real Estate, Planon)

  • Monthly Department Meeting (Agenda, breakfast and/or Vendor guest coordination)

  • Update and maintain master list of Architect/Engineer/General Contractors

  • Update and maintain Certificate of Insurance (COI) database - Email vendors for expiring COI

  • Update and maintain Vendor Rate Sheets (contact vendors in November/December)

  • Update and maintain database of current subcontractors, Architects, General Contractors, Municipalities, Inspection Agencies and Department of Health responsible persons and update Project Managers and Director as needed

  • Process all check requests (Accounts Payable)

  • Township Escrow Account Coordinator

  • Set up and distribute customer service survey’s at the conclusion of all jobs

  • Prepare/Implement Capital requests procedures

  • Prepare and maintain copies of the Department of Acute and Ambulatory inspection booklets, Department of Health

  • PA Department of Health and Life Safety review meeting coordinator

  • Maintain ILSM and ICRA documents

PHYSICAL AND SENSORY REQUIREMENTS:

Occasionally lift and/or carry 50 lbs. Frequently lift and/or carry 25 lbs. Being able to frequently lift or carry objects weighing up to 25 pounds is often more critical that being able to lift up to 50 lbs at a time. Stand and/or walk at least 6 hours in an 8-hour work day. Stooping (bending at the waist) and crouching (stooping and bending at the knee) – required frequently. Handling (grasping) – required frequently. Fingering (fine manipulation) – required only occasionally.

EDUCATION:

Graduate from a secretarial/business administration program preferred.

TRAINING AND EXPERIENCE:

Ability to complete clerical and secretarial duties. Tact, courtesy, initiative, sound judgment and the ability to follow direction. Five years experience as a secretary or administrative assistant. Ability to work with people in a diplomatic manner. Ability to work independently or with minimal supervision. Computer proficiency in basic and some advanced features of Microsoft Word, PowerPoint, Excel, Access, Visio and Adobe Acrobat.
