Job Summary

Oregon State University Cascades is seeking an Admissions Advisor (Bilingual – Spanish). This is a full-time 1.00 FTE , 12-month, professional faculty position.

This position is located in Bend, Oregon.

Reporting to the Assistant Director of Admissions, the Admissions Advisor represents Oregon State University-Cascades ( OSU -Cascades) through recruitment activities aimed at supporting the campus enrollment goals and strategic plan. The Admissions Advisor provides the first point of contact for prospective students and families as they navigate the application process in both English and Spanish. The position serves as a member of the recruitment team that is responsible for the planning and execution of undergraduate, domestic recruitment strategies. The Admissions Advisor must be willing to travel and represent OSU -Cascades to a diverse population of students, counselors, family members and community partners.

The successful candidate will be a detail-oriented individual, excited to work in a fast-paced environment, who values strong time management skills and is flexible, having the ability to adapt to rapid change. The Admissions Advisor will have the opportunity to support university goals and strategic plan and will play a critical role in assisting in the recruitment of talented, diverse students to the university.

OSU -Cascades, located in Bend, Oregon, is a campus of Oregon State University. Established in 2001, the university currently enrolls more than 1,300 students in bachelor’s and master’s degree programs. The campus expanded to a four-year university in 2015, opened its 10-acre campus in fall 2016. The Oregon legislature approved additional funding in 2017 and 2018 for continued campus expansion, which is currently in progress. The campus has ambitious enrollment goals to reach 3,000 students and is engaged in building a culturally diverse and community-centric educational environment.

Key Responsibilities

30% Recruitment

  • Represents OSU and OSU -Cascades/Office of Admissions at college fairs, high school visits, multicultural events, community colleges and other activities as assigned in territory and other areas as needed in English and Spanish.

  • Develops and maintains relationships with key campus partners and external communities and organizations to best serve all student populations.

  • Develops and maintains relationships on behalf of the university with high school and community college personnel, prospective students and their families, cultural and ethnic communities, and other influencers.

  • Collaborates frequently with campus units and is trained to promote OSU and OSU -Cascades programs and services in order to attract and enroll successful students to the university.

  • Plans and conducts presentations, informational sessions, and discussions on enrollment to OSU and OSU -Cascades. Supports the strategic plan and goals for a diverse and academically competitive student body through recruitment efforts in English and Spanish.

30% – Counsel and Advise Prospective Students

  • Meets with and field questions from prospective students and their families to advise/counsel them on the admissions application process and status, requirements, deadlines, and academic programs in English and Spanish.

  • Makes appropriate referrals to academic units, student programs and campus life opportunities.

  • Executes presentations at high schools or community colleges on admissions application process, college essays, college resume, etc. in English and Spanish.

  • Writes notes and messages to follow up with students based on direction from office leadership. Requires up to date knowledge of current campus policies, procedures, and personnel for referral.

  • Assist students in determining which campus location best fits their needs and interests.

15% Recruitment Events

  • Assists in the planning and coordination of on-campus recruitment events for prospective students and families at OSUCascades including preview and admitted student events, Beaver VIP , Juntos events, and group tours. Assists in the development and training of TOUR Ambassadors in giving Spanish campus tours.

10% – Planning, Development and Management of Recruitment Plan

  • Schedules recruitment and other program related activities. Manages and coordinates travel arrangements to assure the effective use of resources.

  • Confirms appointments and advertises visitations to students, counselors, and others.

  • Maintains reports assessing effectiveness of activities and budgetary expenditures.

  • Makes budget/expenditure recommendations to the Assistant Director and Director of Recruitment.

  • Distributes mail, sends out emails to advertise visits, and communicates with staff to coordinate packing and shipping of materials.

10% – Holistic Admission Review

  • Reviews admissions applications as part of holistic admissions process and make admissions recommendations.

5% – Other Duties as Assigned

  • Assists with publications and website updates in English and Spanish, helps with managing social media efforts, works with volunteers, assists with training sessions and meetings, provides support for the Director of Admissions and Assistant Director of Admissions on special projects.

  • Conducts research on state and national enrollment trends. This position will staff recruitment programs on and off campus, pull data and track effectiveness of programs, perform daily office functions, file paperwork, plan and coordinate programs.

  • Serves on search committees and participate in professional development activities, as appropriate. Other necessary duties to fulfill obligations to successful in role.

What You Will Need

  • Bachelor’s Degree from a regionally accredited college or university in discipline of choice. Bachelor’s Degree must be completed by start date.

  • Bilingual in Spanish.

  • Experience working with college or high school students in an advisory or recruitment capacity.

  • Excellent written and oral communication skills in English and Spanish.

  • Ability to communicate effectively verbally in front of small and large groups and to provide workshops, training and outreach programs in English and Spanish.

  • Technological proficiency utilizing computers and working with programs similar to Microsoft Office applications including Word, Excel, Outlook, and Power Point.

  • Ability to think clearly under pressure and to work with individuals from various cultures, including the ability to handle difficult inter-personal situations with tact and diplomacy.

  • Must be able and willing to independently travel for extended periods and work during irregular hours extensively, including late nights, early mornings, evenings and weekends for a minimum of seventeen (17) weeks per year on a continuous and ongoing basis. Must be able to manage frequent travel and fatigue related stress.

  • Demonstrable commitment to promoting and enhancing diversity, ability to work with other individuals whose culture and/or beliefs may differ from your own.

  • Must be able to lift 50 pounds or more.

  • Must be able to drive in all-weather conditions.

  • Must be able to fly on a commercial aircraft.

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

What We Would Like You to Have

  • 1-2 years of full-time professional experience in college admissions or college counseling or 1-3 years of full-time and formal work experience as an admissions, financial aid, housing, college outreach, or college ambassador position that involves regular, frequent and direct work with prospective high school and/or transfer students and their families.

  • Intermediate proficiency with spreadsheets and databases, including experience with CRM software (Slate experience preferred).

  • Use of Social Networking media i.e. Instagram, Facebook and Twitter in professional context.

  • Customer service and event planning experience.

  • Strong attention to detail.

  • Ability to be flexible and operate in a fast- paced and continuously changing environment.
