Description and Qualifications

ThePayroll Specialist under general supervision of the Accounting Manager is responsible for performing all tasks related to the execution and overall management of LifeCenter’s payroll process. This includes processing payroll & related benefits, creation of all related journal entries, managing payroll records, and ensuring compliance with relevant payroll tax laws.

ESSENTIAL JOB FUNCTIONS

Payroll and Labor Responsibilities

  • Manage entirety of bi-weekly payroll process, including creation/submission of the payroll file, the creation of payroll journal entries and disbursement entries, and the maintenance of payroll records and related reporting.

  • Prepare monthly, quarterly, and annual payroll related accruals.

  • Create ad hoc payroll reporting as needed.

  • Maintain an up-to-date position control spreadsheet.

  • Lead all payroll new hire orientations.

  • Reconcile payroll, benefits expense, and payroll related liability balance sheet accounts.

  • Perform monthly analysis of payroll and related costs against budget.

  • Support the VP Finance and Accounting in building the annual labor budget based on discussions with LCNW leadership.

  • Perform monthly audit to ensure accurate time reporting by location.

  • Determine and execute company match of employee 403b contributions.

  • Manage and/or create tools to support the annual compensation review and increase process.

  • Partner with People Resources during the annual open enrollment process for any new benefit set up and deductions.

  • Provide analytical and other support to People Resources as needed.

  • Remain current on applicable payroll regulations and requirements related to multi-state payroll processing.

  • Maintain employee direct deposit information in payroll and accounts payable systems.

  • Prepare annual benefit allocations.

    General Accounting Responsibilities

  • Support Accounting Manager and VP of Finance and Accounting with the annual preparation of Form 990 and 403b Plan Form 5500.

  • Support Accounting Manager in preparation for external audits.

    Supervision

  • This position has no formal supervisory responsibilities.

    Other Responsibilities

  • Performs other instructions/directions and will perform other related duties as required.

  • Support Accounting Manager and Director or Finance and Accounting to set up annual goals for the department.

  • Participates in, and may lead, employee committees and events.

  • Complies with applicable laws, regulations, and LifeCenter policies and procedures.

  • Must possess initiative and a desire for continuous improvement.

  • Must be able to perform analysis and create deliverables from general direction.

  • The ability to produce accurate and timely work is essential.

  • The ability to analyze financial data and present the results in a clear and concise format is required.

  • Intermediate to advanced proficiency with Excel, including formula writing and creating pivot tables, required.

  • Experience with accounting software required.

  • Experience with payroll system preferred.

    Physical Activities/Requirements

  • This position requires manual dexterity sufficient to effectively operate phones, computers, and other office equipment. May require occasional lifting, or moving, of up to 50 lbs.

  • The individual must have the ability to communicate clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone.

  • Specific vision abilities required by this position include close vision, depth perception, and the ability to adjust focus.

  • Generally, working conditions do not require exposure to hazardous materials nor extremes in health and safety hazards. Work is normally performed in an office setting as well as other business environments.

    ANTICIPATED WEEKLY TIME COMMITMENT

  • This position may need to work outside of regular business hours, including evenings and weekends, sometimes without advance notice.

    EDUCATION, EXPERIENCE & JOB REQUIREMENTS

  • Bachelor’s degree in accounting or finance from an accredited college or university, or relevant job experience in lieu of degree.

  • Three to five years accounting and/or finance work experience required.

  • Previous payroll experience preferred.

  • Previous experience in healthcare accounting a plus.

  • Requires a valid driver’s license and access to an insured automobile or the ability to arrive and depart from work and work-related functions at expected times.

  • Proof of COVID-19 vaccination, or applicable medical or religious exemption will be required as a condition of employment upon offer.
