Job Summary

The Health Department is seeking an Administrative Supervisor to oversee daily operations and manage staff at the animal shelter. The ideal candidate should have experience in general office setting, excellent communication skills, and the ability to multitask in a fast-paced environment.

Performs administrative duties to support the division’s overall mission and directly supervises administrative support and specialist positions at the animal shelter. Uses/requires office skills to handle: customer service/communications (internal and external), file organization and management, computer skills including data entry, word processing, spreadsheets, databases, and presentation software, mathematical computation, report and letter preparation, and decision making within scope of position.

Duties

  • Performs administrative support duties for the Animal Services Manager, and Assistant Animal Services Manager by screening calls, scheduling meetings/travel, and maintaining calendars.

  • Responsible for filing and/or documentation of minutes for meetings when asked by the division manager. Manages all associated records and document retention.

  • Supervises and performs administrative support duties for the division, budget monitoring and providing reports. Processing purchase orders, travel/training & expense forms, P-Card payments, deposits and daily balances, and provides training to other Administrative Specialist or Support positions.

  • Responsible for processing and maintaining division monthly activity files and reports.

  • Oversees maintenance requests, inventory, repairs, and upkeep for the Animal Shelter, and all equipment.

  • Functions as division contact point for routing and returning Public Information Requests. Maintains all records and files as required.

  • Communicates with the public, routes calls, provides information and/or documents complaints.

  • Provides back-up coverage for other Administrative Specialist or Support positions as needed.

  • Performs all other related duties as assigned.

Minimum Qualifications

REQUIRED:

  • Associate’s Degree from an accredited college or institution in public administration, business, communications, or related field.

  • Three years customer service or general office experience.

  • Valid driver’s license with an acceptable driving record (must obtain TX driver’s license within 90 days).

  • Demonstrated supervisory experience.

    OR

  • An equivalent combination of education, experience, certification and/or licenses sufficient to successfully perform the essential functions of the job.

PREFERRED:

  • Bilingual

Additional Information

Ability to multitask, establish priorities, work independently, and maintain organization. Work requires continual attention to detail in entering, composing, typing and proofing data and materials. Knowledge of business machine operations, computers and related software, and accounting/billing processes. Must have a high level of interpersonal skills to handle sensitive and confidential situations with both internal and external customers. Position continually requires demonstrated poise, tact, and diplomacy. Ability to get along appropriately with co-workers and the public.

Attendance is an essential function of this position. The City reserves the right to require an employee in this position to work overtime. This position provides services or performs duties for the benefit of the general public during emergency situations. These may include services or duties different from those performed in the usual course and scope of your job. In the event of an evacuation, the incumbent in this position may be required to remain to perform needed services.
