About this position:
This position serves as the principal confidential executive assistant to both the DOTO Deputy Undersecretary and the Undersecretary. It requires independent judgment, exceptional organizational skills, and the ability to act as a communication liaison between the administration, DOTO staff, and external stakeholders. DOTO employees must comply with all applicable Louisiana and Civil Service laws, rules, and regulations, as well as DOTO policies, procedures, and directives.
While in official capacity, DOTD employees must comply with applicable Louisiana and Civil Service laws, rules, and regulations, as well as DOTD policies, procedures, manuals, and directives.

Minimum Qualifications
MINIMUM QUALIFICATIONS:
Four years of experience or training in clerical work.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Distinctions:
Differs from Administrative Assistant 4 by the presence of responsibility for serving as special assistant to a classified/unclassified executive or a high-ranking classified administrator.
Differs from Administrative Assistant 6 by the absence of responsibility for serving as the confidential executive assistant to the unclassified Secretary, Deputy Secretary, Undersecretary, Assistant Secretary, or equivalent high-level classified/unclassified executive of a major state department.
Examples of Work
30% Coordinates activities with OMF section heads to ensure adherence to timelines and suspense files. Maintains operational continuity by directing reports, letters, and other communications to the appropriate managers for immediate or follow-up action. Prepares and organizes meeting folders for the Deputy Undersecretary and Undersecretary, ensuring all relevant documents, reports, and materials are included for meetings with the Secretary, other Executive Staff members, or any other meetings involving their participation. Additionally, prepares agendas, handouts, binders, and other materials for meetings facilitated or chaired by the Deputy Undersecretary and/or Undersecretary. Assists with travel arrangements and expense reports for both the Deputy Undersecretary and Undersecretary. Serves as the payroll administrator for Section I 0.
25% Manages and coordinates the schedules and activities of the Deputy Undersecretary and Undersecretary. Monitors electronic communications, expedites responses, assigns tasks to appropriate staff, and eliminates unnecessary correspondence to streamline workflow.
15% Serves as the primary point of contact for communication and visitors, including federal, state, and local officials, as well as private sector professionals. Determines the nature of inquiries and arranges interviews or conferences as required.
10% Establishes and maintains a comprehensive document management system for the section to ensure materials are organized and accessible. Initiates follow-up correspondence to track and ensure completion of required actions. Maintains a variety of files, including contracts, meeting notes, project documentation, and administrative records.
10% Attends meetings as needed, takes detailed notes, and prepares and distributes meeting minutes or summaries. Drafts and finalizes correspondence independently, ensuring accuracy and professionalism.
5% Performs additional duties as assigned, including providing support during emergencies or disasters.
