Provide administrative support to the business unit management and contract support team including:
Handle general admin tasks in head office
Responsible of updating and maintaining the central contract filing for the business unit
Prepare and issue predefined reports for both internal and external customers regularly
Maintain business unit leaders’ diaries
Coordinate and attend meetings and prepare meeting minutes and follow up action undertaken
Organize and coordinate team and contract review meetings
Deal and manage queries from site staff and clients
Arrange training courses for business unit support staff and contract managers
Organize and manage business unit events
Stand in and act as back up of contract support team
Develop system and procedures to improve overall office operation efficiency
Be the point of contact for marketing and communications related matters, apply knowledge with GWS team’s materials and share with other colleagues.
Provide support to the business development team, including:
Prepare sales documentation, PQQ and tender returns
Maintaining the bid program and plan
Coordinate client clarification questions and responses to them
Sources and researches data, information and knowledge in support of bids/pitches
Compiles CVs and case studies in a consistent format
Supports Bid Leaders with the organization of bid review / sign-off meetings
Liaison with subcontractors
Undertakes document design, production and formatting of the corporate bid template to create a finished document
Assembles electronic and hard copy production for final binding and packaging
Assist with the preparation of presentations and pitches for prospective clients
Carries out documentation tracking submitted proposals and storage/archive client databases and mail lists.
Ensure sales reports are up to date in Customer Relationship Management (CRM) system (i.e., Salesforce)
Conduct market research to identify new business development opportunities
Coordinate and arrange client events, meetings, appointments, and conferences
Connect with marketing and communications and other internal business segment for FAQs on the new brand guidelines, best practices / successful campaign sharing, marketing & PR activities, coordinate for additional support requests and so on
Provide effective administrative support
Assist sales department as required
