Overview

The Supervisor, Administrative Services will provide oversight and support the day-to-day operations of their assigned location. Responsible for managing administrative functions and activities in an efficient and productive manner. This position will assist with employee recruitment, onboarding, training, and reporting. The incumbent will also participate in budget preparation, resource planning, event coordination, and training on reimbursement submissions, and may also develop, review, and audit reports as needed.

Responsibilities

  1. Oversee and provide administrative services to include answering and appropriately directing phone calls, emails, and fax messages; retrieve voice messages in a timely way; direct messages to the appropriate department/person; file, copy, collate, and organize documents; and oversee prompt mail distribution.

  2. Train staff on entering data, provide reports, and maintain departmental purchases and staff reimbursement requests using the relevant systems (e.g., RQC/XM).

  3. Assists with onboarding new staff by obtaining laptops, phone lines, supplies, and furniture needs.

  4. Oversee the daily activities of the playroom and the staff. Acts as a backup to the playroom attendant. Approves the supply orders for the playroom and submit facilities requests for the playroom.

  5. Supervise and provide backup support as needed to the administrative staff.

  6. Assist with the monitoring and reporting of Hand Hygiene compliance and fire drill safety.

  7. Report and request equipment/resource maintenance; stock staff lounge; and submit facilities and housekeeping requests for assigned location.

  8. Provide support to the Assistant Director, Administrative Operations in preparation for the Joint Commission reviews, including environment of care, and updating policy and procedure manuals across all CASSI locations.

Qualifications

EDUCATION:

  • High School Diploma, General Educational Development (GED), or equivalent level of education is required.

  • Associate of Arts degree or higher degree in a human services-related field or healthcare administration is preferred.

EXPERIENCE:

Three to four years of previous administrative support or other relevant experience, preferably working in a clinical setting is required.
