Johns Hopkins University Sr. Administrative Manager in Baltimore, Maryland

The Department of Anesthesiology and Critical Care Medicine (ACCM) is seeking a Sr. Administrative Manager who will be responsible for clinical scheduling, informatics reporting, financial reporting, and strategic planning for clinical staffing for the department. The Sr. Admin manager is responsible for supporting the coordination, operations, informatics, and reporting for department-wide clinical staffing initiatives and projects that have a significant and direct impact on the strategic priorities of the clinical, fiscal, and administrative operations of the Department of Anesthesiology and Critical Care Medicine (ACCM).

Specific Duties & Responsibilities

  • Provides direct management of the Physician schedule to include two hospitals - Johns Hopkins Hospital and Bayview Medical Center.

  • Responsible for the physician scheduling functions according to the policies and procedures of the Department of Anesthesiology & Critical Care Medicine and based on an understanding of the complex environment and the clinical staffing needs of the ORs.

  • Will plan and ensure clinical coverage and recordkeeping for administrative and financial accounting.

  • Scheduling 250 Physicians across 75 anesthetizing locations and 7 ICU sites per day per two hospitals which is done on quarterly generation.

  • Weekly generation of schedule to include specifically assigning Physicians to the specific 75 anesthetizing locations per day per two sites.

  • Identifies areas of increased clinical need and works with the Manpower Directors to identify faculty to serve in these roles as well as set up their area orientation.

  • Recommends and implements best practices to encourage optimal staffing which also positively impacts staffing budgets.

  • Serves as primary contact to work closely with scheduling system team to implement best practices for clinical staffing optimization.

  • Daily management and updating of schedule to include callouts, add-ons for premium shifts, shift swaps, room closures, etc.

  • Partners with HR/Credentialing team and divisional contacts to add and remove providers from the scheduling system, and orient new providers to the department and their scheduling responsibilities.

  • Special projects to include - creation of dashboards/analytics to better inform how we staff our ORs based on total volume, volume by room, volume by hour, staffing ratios, etc., and implementation of an automated system to better accomplish and manage daily personnel tasks (morning breaks, pre-ops completion).

  • Responsible for data collection to identify strategic and operational opportunities, monitor project outcomes, and closes projects with after-action reviews.

  • Oversees implementation of strategic plan in partnership with Vice Chair of Clinical Operations, Clinical Staffing team, Associate Administrator, Financial Manager, Chief Administrative Office, and Director of Department.

  • Financial management to include monthly, quarterly, biannual, and annual reporting and coordination with the Financial Manager for the payout periods.

  • Conducts preliminary review and reporting of clinical activity and annual targets which is shared with each individual provider, so they meet their quarterly and annual clinical day and call commitments.

  • Create monthly and annual financial reports for senior management.

  • Review and analyze financial and variance reports to advise senior management of financial trends.

  • Serve as the financial point of contact with physicians, clinical staffing team, Financial Manager, and Director’s Office.

  • Generate financial reporting for the physician pay out periods which occur biannually and annually.

Minimum Qualifications

  • Bachelor's Degree in Business, Finance, Accounting or other related field.

  • Five years progressively responsible professional-level administrative or financial experience related to monetary or non-monetary resources of a department, center or unit.

  • Master's degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.

  • Proficiency with Microsoft Office Suite and (Word, Excel, Power Point, etc.), Tableau, Epic Electronic Medical Record, and other business applications

Preferred Qualifications

  • Operational improvement experience in a clinical or healthcare environment preferred.

  • Must be able to manipulate Excel or similar spreadsheet software programs to analyze data and prepare reports.

  • Demonstrated ability to develop spreadsheets for data analysis, forecasting, and reporting.

  • Demonstrated ability to analyze complex data.

  • Ability to work independently and as part of a team.

  • Demonstrated ability to collaborate with diverse stakeholders, including faculty and staff.

  • Strong oral and written communication skills.

  • Must be able to communicate effectively in person using spoken English.

  • Must be able to communicate via telephone and videoconferencing (such as Zoom and Microsoft Teams).

  • Must be able to carry out support of programs that require extensive work at a computer.

Role/Level/Range: ATP/04/PE

Starting Salary Range: $73,300 - $128,300 Annually ($85,000 targeted; Commensurate with experience)

Schedule: Mon-Fri with possible evening/weekend hours
