SUMMARY

Addresses Warehouse Customer’s needs by managing their accounts via the Warehouse Management System (WMS). Responsible for providing proactive and excellent customer service to all Warehouse accounts, assisting with scheduling inbound and outbound shipments with Customer’s Carrier’s (including LTL and TL shipments) if applicable, and managing all Warehouse Customer’s invoices and billing documents. Helps implement Company Quality, Safety, and Customer Standard Operating Procedures (SOP’s.). Coordinates with vendors, sales staff, customer service representatives, billing representatives, warehouses and shippers, as needed.

Essential Duties and Responsibilities:

  • Facilitate and Maintain excellent working relationship between company and client by responding to items related to work orders, invoices, shipments, inventory counts, etc., in a courteous and efficient manner.

  • Oversee all client customer orders in the WMS and provide proactive customer service support.

  • Understand Order priorities and communicate effectively with Warehouse Staff to facilitate completion of orders in a timely manner.

  • Service department to facilitate order management, complaint handling, and WMS Customer Portal training.

  • Daily review of all “Open Orders” in WMS queue and follow up as needed to ensure orders do not become outdated.

  • Manage all related paperwork and necessary information required for client shipments, check all orders for special requests and post inventory records.

  • Maintain Quality Assurance process and guidelines for all client Customers, including order specs, shipping requirements, and communication (systems/email/phone) specific to each customer.

  • Create, Prepare, and Maintain reports for both operation staff and customer requests.

  • Establishing and maintaining procedures for setting up new customers and subsequent customer Quality Assurance – facilitate communication between all parties during start up process.

  • Maintain damage records, backorder logs, and any applicable regulatory reporting.

  • Act as a liaison between Operation and Corporate Warehouse Billing staff to ensure all warehouse accounts are managed in a proactive way that supports continued profitability with each account.

  • Create, identify and recommend process improvements that can increase productivity, safety, customer satisfaction and eliminate redundancy, inefficiency and costs

  • Responsible for entering accurate receivables and payables for all handled accounts as well as timely billing.

QUALIFICATONS

Education & Experience:

Minimum of High School Diploma, college degree or some college experience highly preferred. Minimum 4 years of direct experience in a similar industry, or 2 year completion of Logistics and Transportation courses through accredited college.

Other Duties & Responsibilities:

Requires knowledge of inventory management procedures and systems, as well as general warehousing terminology and practices required. Solid mathematic and financial accounting principles. Proficiency with all MS Word programs (e.g. Excel, Outlook) and ability to quickly learn warehouse systems, if applicable. Ability to do spreadsheet tracking and data analysis is vital. Interpersonal and communication skills are critical. Must have the ability to manage multiple party communications utilizing various forms of software technology. Ability to meet deadlines with tight scheduling requirements, and must excel in time management, prioritizing deadlines. Must be able to periodically work a flexible schedule.

Working Conditions:

Cubicle working environment. Noise level in the work environment is usually moderate.

  • While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear.
