Johns Hopkins University Graduate Student Experience Coordinator in Baltimore, Maryland

Led by the Associate Dean for Graduate Biomedical Education, the Office of Graduate Biomedical Education (OGBE) promotes innovation in graduate biomedical education and supports graduate biomedical education by managing key central functions, developing and implementing initiatives to promote diversity in graduate biomedical education, and ensuring a positive learning environment. OGBE is located within the Office of the Vice Dean for Education, which is part of the Johns Hopkins University School of Medicine (JHUSOM).

We are seeking a Graduate Student Experience Coordinator who will be part of the OGBE team and provides sophisticated support, coordination, and planning to create a positive graduate student experience. The position reports jointly to the Assistant Director, Graduate Student Experience and Diversity and the Sr. Administrative Manager and works closely with the Assistant Dean for Graduate Biomedical Education and Graduate Student Diversity, graduate students, graduate student groups, graduate program faculty and staff, and members of the OGBE.

Specific duties & responsibilities

  • The Graduate Student Experience Coordinator is responsible for supporting programming and activities that lead to a positive experience for JHUSOM graduate students. This includes, but is not limited to,

  • Serve as primary point of contact for graduate students. Ensure availability of OGBE to students; answer student questions or refer students to appropriate OGBE, JHUSOM, or Johns Hopkins University (JHU) resources. Track student inquiries and resolution; create and present reports to leadership.

  • With support from the Administrative Coordinator and in coordination with graduate student groups and other SOM offices, plan, manage, and/or serve as primary contact for major student events (including but not limited to orientation, recruitment events, activities fairs, Young Investigators Day, Graduate Coating Ceremony, and Convocation).

  • Assist in the planning, coordination, management and/or support of wellness and inclusion-based activities, including those that support potentially vulnerable student groups. Work closely with the Director of the University Health Services (UHS) Office of Wellness and Health Promotion and others to promote existing wellness and inclusion events and activities and develop new initiatives.

  • Provide administrative and programmatic support to the Graduate Student Association (GSA) and graduate student groups (including managing subsidized student parking and listservs) and serve as the staff advisor to the GSA.

  • Work with the GSA leadership on budgeting; manage all finances for student groups, including budget reconciliation and accounting transactions.

  • With the Office of Assessment and Evaluation, develop and implement strategy for evaluating graduate student events and activities.

  • Create and present reports on student information to OGBE leadership to guide leadership decisions.

  • Implement strategies for communicating JHU and JHUSOM policies to students.

  • Monitor the OGBE email account, respond promptly to queries and/or triage them as necessary.

  • Manage communications with students. Maintain the OGBE, GBE, PREP, other GBE pipeline and SOM graduate education websites.

  • Serve as primary coordinator for administration of the Graduate Student Emergency Fund (initiate and schedule committee meetings, send out solicitation for applications to students, administer the distribution of funds, etc).

Administer and ensure compliance with institutional or governmental (federal and state) regulations, such as Responsible Conduct of Research (RCR), Title IX training, and opioid training.

  • Assist the course director(s) and the director of academic affairs in planning, implementing and evaluating the Introduction to RCR course

  • Administer the Introduction to RCR course: provide information for the course catalog, maintain an up-to-date Canvas classroom, assist the teaching assistants and course directors as needed, deploy a course evaluation, and submit student grades.

  • Monitor completion of required trainings and share reports with Registrar’s Office and other stakeholders

Support the Assistant Director, Graduate Student Experience and Diversity as necessary in administration of student pathway programs and partnerships or other diversity and inclusion initiatives. Support might include, but is not limited to,

  • Schedule and coordinate travel, lodging, meals, and activities during the admissions and recruitment process for PREP (Post-baccalaureate Research Education Program), SIP (Summer Internship Program) and DDP (Doctoral Diversity Program).

  • Work with HR to onboard all new GBE pathway program participants.

  • Run the orientation and safety training sessions for new SIP scholars.

  • Gathering and organizing updates about former GBE pathway program scholars for tracking purposes.

  • Organizing information from the Summer Internship Program (SIP) database to recruit applicants from this pool.

  • Schedule meetings, workshops, and events for PREP (including booking rooms, ordering food, sending out invites, etc.).

  • Meet monthly with PREP director and the Assistant Director.

  • Assist in developing marketing materials for all GBE pathway programs.

  • Attend local graduate school fairs and/or other recruitment events in order to promote the graduate programs and pathway programs at the School of Medicine.

  • Other duties as assigned.

Special Knowledge, Skills, & Abilities

  • Professionalism required to represent OGBE as well as work collaboratively with internal and external stakeholders such as Faculty and students.

  • Demonstrated ability to plan and prioritize work tasks and Strong attention to detail.

  • Must be highly computer literate, with demonstrated facility to work with a variety of software systems.

  • Must be self-motivated.

  • Excellent oral and written communication skills.

  • Demonstrated ability to communicate with respect, integrity, and kindness.

  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Five years progressively responsible administrative/academic experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor’s Degree preferred.

  • Experience with SAP.

  • Experience working with biomedical graduate students preferred.

  • Knowledge of graduate biomedical programs.

  • Experience working with higher education student populations preferred.
