The University of Maryland School of Pharmacy has an exciting opportunity for an Academic Services Specialist in the Office of Graduate Programs.TheAcademic Services Specialist will primarily be responsible for the full administrative coordination of academic Doctoral and Master’s Programs in the Department of Pharmaceutical Sciences (PSC). This position is responsible for coordinating, organizing, maintaining the operational and administrative functions, and serving as a resource for students, faculty, and staff by coordinating academic activities, programs, and extracurricular seminars.The Academic Services Specialist will report to the Director of Graduate Student Services in the Office of Graduate Programs. The Department of Pharmaceutical Sciences is a recognized leader in the field of drug discovery and development. Exempt regular staff receive a generous paid leave package that includes over 4 weeks of vacation accrued each year, 15 paid holidays, 3 personal leave, unlimited accrual of sick time, and comprehensive health insurance; professional learning and development programs; tuition remission for employees and their dependents at any University System of Maryland school; and flexible work schedules and teleworking options (if applicable per job). /UMB is Ranked Among the Best Employers for Diversity by Forbes 2022 & 2023./ * * PRIMARY DUTIES: • Coordinates full administrative and operational activities of relevant academic programs, with interrelated activities of other programs, departments, or staff to ensure optimum efficiency and compliance with appropriate policies and procedures. • Collaborates with faculty, staff, and students to administratively support and coordinate training grant operations and activities, including the NIH-funded Initiative for Maximizing Student Development (IMSD) Training Grant. • Assists with development and implementation of programs and initiatives to promote diversity, equity and inclusion. • Provides administrative support for PSC graduate coursework, including student registration and faculty applications for new courses. Works with faculty and the graduate program directors to organize student rotations, research coursework, and evaluations. • Organizes, compiles and distributes literature for distribution, such as newsletters, brochures or flyers. Ensures materials are accurate and accessible. • Reconciles departmental budgets and oversees payment of departmental expenses including payment of student workers, guest artists, guest speakers, departmental and office supplies, etc. • Prepares periodic reports, financial statements and records on academic program activities, progress, status or other special reports for management or outside agencies. • Communicates and responds to PSC student questions and concerns; works with students to resolve all issues to ensure ongoing satisfaction with program and successful progress to completion. • Coordinates administrative processes involved in supporting the PhD and IMSD programs which typically include recruitment, selection, admission, registration, orientation, and progression of students, interns, or participants. Assists with travel, housing, and visa requirements for recruits, students, and interns. • Confers with and advises staff, students, and others to provide problem solving assistance, answers to questions, and provides policy interpretation. Refers issues to appropriate department person when unable to respond. • Serves as a liaison between students, faculty and departmental staff regarding payroll, benefits, reimbursements, and other administrative matters. • Provides administrative support to the assigned department, school or program with recruitment, selection, admission, registration, and orientation. Determines customer service strategy and provides follow-up with occupants in designated areas. • Enhances student experience by arranging extracurricular seminars, study sessions, or workshops. • Performs other duties as assigned. MINIMUM QUALIFICATIONS: EDUCATION:Bachelor's degree. EXPERIENCE:Two (2) years of administration of a program, preferably in higher education or healthcare setting. OTHER: • Ability to lift and carry or otherwise move up to 25 pounds occasionally • Ability to stand for extended periods of time. • May consider a combination of directly related experience and education.
