Description

We are offering an exciting opportunity in the CPA industry, located in Avon, Indiana. The role of Administrative Assistant involves handling various administrative tasks, ensuring efficient operation of the office, and providing support to our accounting team. This role is critical in maintaining smooth office operations and supporting other business activities.

Responsibilities:

• Serve as the primary point of contact for clients, managing all forms of communication and requests with professionalism and timeliness.

• Manage calendars, schedule appointments, and coordinate meetings for staff, possibly including travel and accommodation arrangements.

• Accurately input and update client information, billing records, and other relevant data into firm databases.

• Oversee office supplies orders, manage inventory, and maintain a clean, organized, and welcoming office environment.

• Aid the accounting team with the preparation of financial statements, tax returns, and other client deliverables, which may involve gathering and organizing financial data, scanning, and filing documents.

• Assist in organizing firm events, training sessions, and client meetings.

• Handle sensitive client information with discretion and maintain client confidentiality at all times.

• Ensure quality of work output, including on-time and accurate delivery.

• Apply skills learned in one client setting to similar situations with other clients.

• Ability to work well under pressure and meet deadlines.

Requirements • Minimum of 2 years' experience in a similar role within a CPA firm or other related industry

• Proficient in administrative tasks such as scheduling, organizing, and managing files

• Excellent communication skills, both written and verbal, for effective interaction with clients and team members

• Skilled in using Microsoft Office Suite and other administrative software

• Ability to handle sensitive and confidential information with discretion

• Proven experience in benefits administration

• Exceptional organizational skills, with the ability to prioritize tasks and work under pressure

• Must be detail-oriented to ensure accuracy in documentation and data

• Demonstrated problem-solving abilities with a proactive approach to finding solutions

• Strong customer service skills, with a focus on providing a positive experience for employees and clients.
