  • Experienced in using software tools such as Microsoft Office, Canva, and Zoom.

Job Description

Our office is currently seeking a Program Administrator to support our educational programs, serving judges, constables, and court staff throughout the state. This role involves managing both in-person and online events and conferences, maintaining our client database, and assisting with the development of judicial education resources. The successful candidate will also provide support to other teams within the office, including the education manager and legal team. We require someone with proven experience in conference management, strong customer service skills, and the capability to travel statewide. Our office is based in Austin. This position is eligible for partial work from home at the supervisor’s discretion.

Job Duties

Conference Management Duties:

  • Coordinate logistics with hotel staff, including meeting specifications, catering, and audio/visual requirements.

  • Arrange travel and accommodations for faculty, staff, and manage attendee rooming lists.

  • Collaborate with vendors to support event needs.

  • Develop and distribute educational and registration materials for courses.

  • Oversee on-site management at conferences, including registration, course monitoring, and hotel liaison.

  • Welcome attendees and serve as the primary point of contact at events; must be comfortable with occasional public speaking.

  • Manage setup and breakdown of audio/visual equipment and collaborate with service providers during events.

  • Handle packing, shipping, and transportation of materials and equipment for events.

  • Resolve any issues to ensure a positive experience for attendees, staff, committee members, and faculty.

  • Conduct post-event reporting and coordination with the office coordinator and accountant.

  • Oversee the management and operation of software for online conferences.

Maintain Client Database:

  • Guide clients through the database via phone and email.

  • Monitor continuing education credits for civil process program, including data collection and client follow-ups.

  • Ensure data accuracy and timely updates to client records.

  • Address client inquiries and resolve database-related issues promptly.

Develop Judicial Education Resources:

  • Schedule meetings, prepare agendas, and organize board related materials.

  • Develop and write content for flyers, brochures, publications, and other resource materials.

  • Support the legal team and faculty in creating educational and online learning materials.

  • Design marketing materials for promoting conferences and meetings.

Additional Information to Applicants

GRANT FUNDED POSITION LOCATED IN AUSTIN , TEXAS .

Currently working 4 days remotely and 1 day in office.

Some occasional nights and weekends may be required.
